Format Review and Format Approval<br />

The candidate submits one unbound copy of <strong>the</strong> <strong>the</strong>sis <strong>to</strong> <strong>the</strong> <strong>the</strong>sis direc<strong>to</strong>r, who evaluates <strong>the</strong> overall work. A<br />

second unbound copy of <strong>the</strong> final draft is submitted <strong>to</strong> <strong>the</strong> research advisor for evaluation of <strong>the</strong> format. The<br />

latter copy should be as nearly complete as possible, printed exactly as it will be when it is bound, and formatted<br />

precisely according <strong>to</strong> <strong>the</strong> requirements outlined in A <strong>Guide</strong> <strong>to</strong> <strong>the</strong> <strong>ALM</strong> <strong>Thesis</strong>, so <strong>the</strong> research advisor can<br />

evaluate <strong>the</strong> appearance of <strong>the</strong> <strong>the</strong>sis.<br />

The unbound copy for <strong>the</strong> research advisor should include a cover letter that gives <strong>the</strong> following information:<br />

• What citation source you used (MLA, Chicago, APA, etc.)<br />

• An updated address<br />

• Updated e-mail<br />

• Updated phone number<br />

• Whe<strong>the</strong>r you wish <strong>to</strong> pick up your corrected <strong>the</strong>sis draft when <strong>the</strong> research advisor has made his/<br />

her corrections or if you wish <strong>to</strong> have it FedEx’d <strong>to</strong> you. Note: FedEx does not deliver <strong>to</strong> PO Box<br />

addresses.<br />

In addition <strong>to</strong> submitting an unbound paper copy of <strong>the</strong> <strong>the</strong>sis with cover letter <strong>to</strong> <strong>the</strong> <strong>ALM</strong><br />

Office, students should also submit an electronic copy of <strong>the</strong>ir approved title page and<br />

abstract. You can send yours as an e-mail attachment <strong>to</strong> alm@dcemail.harvard.edu.<br />

Format review involves more than making sure <strong>the</strong> margins are correct. It is, in fact, <strong>the</strong> final crucial stage in <strong>the</strong><br />

editing process. The research advisor will carefully examine <strong>the</strong> <strong>the</strong>sis and will not give it final approval if <strong>the</strong>re<br />

are errors in <strong>the</strong> format of <strong>the</strong> front matter, end matter, or chapter headings; or if <strong>the</strong> text contains errors in<br />

spelling, punctuation, grammar, and usage. Such errors must be corrected and <strong>the</strong> corrections resubmitted <strong>to</strong><br />

<strong>the</strong> research advisor before final approval will be given. All <strong>the</strong>ses inevitably contain some errors, so students<br />

should not be alarmed if <strong>the</strong>y are asked <strong>to</strong> make some corrections at this final stage. Most are quickly and easily<br />

rectified, especially if <strong>the</strong> student pays careful attention <strong>to</strong> <strong>the</strong> instructions given in this chapter. It is <strong>the</strong>refore<br />

wise <strong>to</strong> submit <strong>the</strong> final copy printed on ordinary paper, not <strong>the</strong> more expensive <strong>the</strong>sis paper that will be<br />

used for <strong>the</strong> bound copy. Students should submit a sample of <strong>the</strong> <strong>the</strong>sis paper <strong>the</strong>y intend <strong>to</strong> use for <strong>the</strong><br />

approved bound copy when <strong>the</strong>y submit <strong>the</strong> <strong>the</strong>sis <strong>to</strong> <strong>the</strong> research advisor for final approval. The research<br />

advisor will want <strong>to</strong> see both <strong>the</strong> original copy of <strong>the</strong> <strong>the</strong>sis and <strong>the</strong> corrected copy so that comparisons can be<br />

made quickly and efficiently. The corrected copy can be safely printed on <strong>the</strong>sis paper once <strong>the</strong> research advisor<br />

approves <strong>the</strong> <strong>the</strong>sis.<br />

Note: Appendix 3 in this <strong>Guide</strong> contains a list of items that <strong>the</strong> research advisor will be<br />

checking for correct format. We recommend that you use it from <strong>the</strong> beginning of <strong>the</strong><br />

process as a checklist in <strong>the</strong> preparation of your <strong>the</strong>sis.<br />
