Network Offender Payroll Program<br />

At Ahtanum View Corrections Center, collecting, compiling, and archiving Offender<br />

Payroll data was done using a paper-based system. There were three <strong>of</strong>ficers<br />

responsible <strong>for</strong> keeping track <strong>of</strong> <strong>of</strong>fender work hours, rate <strong>of</strong> pay, and ensuring <strong>the</strong><br />

in<strong>for</strong>mation was turned in to <strong>the</strong> Office Assistant Senior <strong>for</strong> accounting purposes.<br />

Additionally, <strong>the</strong>re was no consistent way <strong>of</strong> recording and archiving <strong>the</strong> payroll data<br />

so that it could be easily retrieved if needed. This process generated a staff usage <strong>of</strong><br />

approximately five hours a week to accomplish this payroll task.<br />

A team was <strong>for</strong>med to develop a paperless system that would increase accountability<br />

<strong>of</strong> payroll data, while decreasing errors in recording payroll in<strong>for</strong>mation. Local IT staff<br />

assisted in getting <strong>the</strong> Offender Payroll Program onto <strong>the</strong> facility shared drive so<br />

those recording and using <strong>the</strong> data could access <strong>the</strong> in<strong>for</strong>mation in a more efficient<br />

and accurate manner. One <strong>of</strong>ficer now handles <strong>the</strong> payroll program. This <strong>of</strong>ficer<br />

inputs <strong>the</strong> <strong>of</strong>fenders work hours <strong>for</strong> <strong>the</strong> current week. The payroll program breaks<br />

down <strong>the</strong> data into weekly hours worked, monthly hours worked and rate <strong>of</strong> pay <strong>for</strong><br />

<strong>the</strong> week and month. The data is backed up on floppy disk as well as <strong>the</strong> shared<br />

server <strong>for</strong> archiving.<br />

<strong>Results</strong><br />

! Reduction in recording errors by 96%.<br />

! Reduction <strong>of</strong> 10 monthly staff hours involved in <strong>the</strong> payroll process.<br />

! Increased archiving capability.<br />

! Payroll data collection is on time 99% <strong>of</strong> <strong>the</strong> time.<br />
