Department <strong>of</strong> Licensing<br />

On-line Training Registration System<br />

The registration and tracking <strong>of</strong> employee training used to rely on a paper-based<br />

system – a very labor-intensive process – resulting in delays in registration<br />

processing, missed training opportunities, and an incomplete record <strong>of</strong> training in<br />

Department <strong>of</strong> Licensing (DOL). Registrations were hand entered into two data<br />

bases, and many activities simply not recorded.<br />

Staff throughout <strong>the</strong> state (63 locations) now submit and track <strong>the</strong> status <strong>of</strong> training<br />

requests on-line via <strong>the</strong> automated training registration system. Training pr<strong>of</strong>iles are<br />

available on-line, ending <strong>the</strong> need <strong>for</strong> paper copies. Agency training data is now<br />

uploaded to Department <strong>of</strong> Personnel (DOP) <strong>for</strong> inclusion in <strong>the</strong> employee’s training<br />

pr<strong>of</strong>ile.<br />

Supervisors now have access to on-line training pr<strong>of</strong>iles <strong>of</strong> staff – an aid in <strong>the</strong><br />

development <strong>of</strong> training plans. Employees can better access <strong>the</strong>ir training pr<strong>of</strong>iles, so<br />

<strong>the</strong>y can better plan <strong>the</strong>ir pr<strong>of</strong>essional development. Redundant registration/tracking<br />

systems developed in work units have been eliminated, resulting in better use <strong>of</strong> staff<br />

time to support training initiatives and responding to customer requests. The new<br />

system also helps <strong>the</strong> Agency ensure that employees complete critical/required<br />

training in a timely manner.<br />

<strong>Results</strong><br />

! Employees receive prompt notice on enrollment, better enabling <strong>the</strong>m to manage<br />

<strong>the</strong>ir schedules and workload.<br />

! The “Wait List” feature enables <strong>the</strong> Agency to better understand <strong>the</strong> demand <strong>for</strong><br />

training, and thus <strong>the</strong> needs <strong>of</strong> <strong>the</strong> staff.<br />

! Training pr<strong>of</strong>iles now will include ALL training – not just DOL or DOP training.<br />

! Training requests are now traceable – and not lost.<br />

! Eliminated <strong>the</strong> needs <strong>for</strong> “FORMS” associated with <strong>the</strong> old system – about $1040<br />

per year in cost savings.<br />
