scripts of published papers of early years with authors, negative responses <strong>to</strong> the requests<br />

<strong>to</strong> place full-text articles from commercial publishers (their pdf files) on the reposi<strong>to</strong>ry<br />

helped us <strong>in</strong> <strong>for</strong>mulat<strong>in</strong>g our decisions <strong>in</strong> go<strong>in</strong>g ahead on this ef<strong>for</strong>t.<br />

Follow-up with the authors <strong>to</strong> upload their manuscripts after the publication of a<br />

paper was a very hard <strong>and</strong> time consum<strong>in</strong>g task. We there<strong>for</strong>e realized the limitations of<br />

the ‘voluntary’ option <strong>and</strong> soon changed our voluntary mode of deposition <strong>to</strong> m<strong>and</strong>a<strong>to</strong>ry<br />

mode. We also realized that the authors would leave the organization one day but the<br />

organization would cont<strong>in</strong>ue. In order <strong>to</strong> ma<strong>in</strong>ta<strong>in</strong> that record <strong>and</strong> provide user service,<br />

designated staff <strong>for</strong> the service was considered essential. We plugged <strong>in</strong> a feature <strong>for</strong> a<br />

deposition of f<strong>in</strong>al manuscript <strong>for</strong> a reposi<strong>to</strong>ry <strong>in</strong> an exist<strong>in</strong>g workflow <strong>in</strong> the publications<br />

moni<strong>to</strong>r<strong>in</strong>g system of the Institute. Computerization of the workflow of disclos<strong>in</strong>g a<br />

publication out of research be<strong>in</strong>g carried out at this Institute made the task easy <strong>for</strong> the<br />

authors <strong>and</strong> they had not <strong>to</strong> do the additional task of creat<strong>in</strong>g a record <strong>for</strong> the reposi<strong>to</strong>ry<br />

<strong>and</strong> upload<strong>in</strong>g of the manuscript. This part of the work is now be<strong>in</strong>g done by the library<br />

staff (on behalf of the authors). Once the record is added, the ma<strong>in</strong>tenance of metadata<br />

<strong>and</strong> provid<strong>in</strong>g services <strong>to</strong> the end-user, if any, are taken care of by the library staff.<br />

The <strong>to</strong>tal number of publications from NIO is about 150 per year. So it was realized<br />

that the reposi<strong>to</strong>ry would not show a growth <strong>in</strong> the <strong>in</strong>itial period. There<strong>for</strong>e deposition of<br />

full-text with ‘restricted access’ had been <strong>in</strong>troduced <strong>for</strong> the older literature. The full-text<br />

item with this feature rema<strong>in</strong>s available with<strong>in</strong> the <strong>in</strong>stitute (restricted access with log<strong>in</strong>,<br />

etc) whereas, the users of the reposi<strong>to</strong>ry from outside the <strong>in</strong>stitute can only ‘request’ <strong>for</strong><br />

the desired document. The request is then received <strong>in</strong> the <strong>for</strong>m of mail with a l<strong>in</strong>k <strong>to</strong> the<br />

record. The library staff takes care of send<strong>in</strong>g the document under restricted access <strong>to</strong> the<br />

requester after confirm<strong>in</strong>g that the request so received is from an authentic user. We used<br />

this feature <strong>for</strong> s<strong>to</strong>r<strong>in</strong>g scanned copies of the old published literature way back until 1991.<br />

The half-life <strong>for</strong> oceanography literature is eight years <strong>and</strong> hence we felt that archiv<strong>in</strong>g<br />

this much old literature should serve most of the users.<br />

The reposi<strong>to</strong>ry is currently listed on general <strong>and</strong> discipl<strong>in</strong>ary as well as regionspecific<br />

harvesters: Google Scholar (one place where the <strong>in</strong><strong>for</strong>mation seeker generally<br />

<strong>in</strong>itiates his/her search <strong>for</strong> <strong>in</strong><strong>for</strong>mation across many discipl<strong>in</strong>es <strong>and</strong> sources), OAIster (a<br />

union catalog of OCLC represent<strong>in</strong>g open access resources), Avano (a mar<strong>in</strong>e <strong>and</strong><br />

aquatic sciences OAI harvester — the discipl<strong>in</strong>e the DRS belongs <strong>to</strong>), CASSIR (Cross-<br />

<strong>Access</strong> Search Service <strong>for</strong> <strong>India</strong>n Reposi<strong>to</strong>ries — the country DRS belongs <strong>to</strong>).<br />

Besides browse feature, the records <strong>in</strong> the DRS can be searched (Advanced search)<br />

either by keyword (<strong>in</strong>clud<strong>in</strong>g a word <strong>in</strong> the full -text) or other specific fields <strong>in</strong> the<br />

data such as Author, title, source, abstract, document type <strong>and</strong> year. We limit the scope of<br />

this reposi<strong>to</strong>ry <strong>to</strong> the published <strong>and</strong> gray literature (such as doc<strong>to</strong>ral theses <strong>and</strong> technical<br />
