APPENDIX 3: IMPLEMENTATION PLANNING GUIDE<br />

Every organization will develop its own unique implementation plan based on many factors. These factors <strong>in</strong>clude the<br />

state of their exist<strong>in</strong>g fundrais<strong>in</strong>g <strong>in</strong>frastructure; the size of the organization; their challenges and opportunities; their<br />

staff<strong>in</strong>g; the geographic distribution of their constituents; their fundrais<strong>in</strong>g objectives and goals and many others. Below<br />

is an outl<strong>in</strong>e cover<strong>in</strong>g major po<strong>in</strong>ts <strong>in</strong> an implementation plan. It is <strong>in</strong>tended to stimulate questions and discussion more<br />

than to provide a blue pr<strong>in</strong>t or cookie cutter solution to implement<strong>in</strong>g a wealth screen<strong>in</strong>g.<br />

1. Goals<br />

Def<strong>in</strong>e and/ or Establish Quantifiable Goals <strong>for</strong> the screen<strong>in</strong>g <strong>in</strong> each of the categories <strong>for</strong> which you have them*:<br />

Major Gifts<br />

Planned Gifts<br />

Annual Fund Leadership Gifts<br />

Annual Fund – general<br />

Corporate and Foundation<br />

Other<br />

2. Security<br />

Address questions regard<strong>in</strong>g who should have access to the screen<strong>in</strong>g data and results:<br />

Identify a primary adm<strong>in</strong>istrator.<br />

Determ<strong>in</strong>e who should have access to the results.<br />

Be sure you have the necessary donor privacy policies <strong>in</strong> place to cover the appropriate use of the sensitive data <strong>in</strong> a<br />

wealth screen<strong>in</strong>g and that those who are given access to the data are aware of the policies.<br />

<strong>WealthEng<strong>in</strong>e</strong> recommends that all who have access to sensitive data sign a privacy statement. This will help protect<br />

your organization should any data be carelessly or wrongfully handled.<br />

Determ<strong>in</strong>e who has permission to make changes <strong>in</strong> the results database.<br />

3. Tra<strong>in</strong><strong>in</strong>g<br />

Address any tra<strong>in</strong><strong>in</strong>g needs of staff<br />

Provide access to tra<strong>in</strong><strong>in</strong>g <strong>for</strong> anyone who will be work<strong>in</strong>g directly with research data and/or screen<strong>in</strong>g results.<br />

Staff members may need different levels of tra<strong>in</strong><strong>in</strong>g, <strong>for</strong> <strong>in</strong>stance research staff will require <strong>in</strong>-depth tra<strong>in</strong><strong>in</strong>g,<br />

while major gifts staff may need a general understand<strong>in</strong>g. All staff must be tra<strong>in</strong>ed regard<strong>in</strong>g the importance of<br />

data security.<br />

4. Communication<br />

Create buy-<strong>in</strong> amongst <strong>in</strong>ternal constituents and provide ongo<strong>in</strong>g updates<br />

Plan to <strong>in</strong>troduce the results of the screen<strong>in</strong>g to fundraisers, trustees, and top leadership as appropriate. Be prepared<br />

to share your plan <strong>for</strong> data validation, data <strong>in</strong>tegration, prospect assignment, prospect track<strong>in</strong>g and plans <strong>for</strong> measur<strong>in</strong>g<br />

return on <strong>in</strong>vestment (ROI).<br />

Provide periodic updates so stakeholders know what progress is be<strong>in</strong>g made, and are advised of any changes to<br />

timel<strong>in</strong>es and processes.<br />
