Foreign Travel, EU Recoupment and credit cards.<br />

FMU manages the foreign travel accounts and recoups payments for EU Travel on behalf of<br />

both Departments. This includes budget planning and management, processing payments and<br />

recoupments and assisting and supporting staff with their travel arrangements.<br />

FMU has responsibility for credit cards in both Departments. This includes overseeing the<br />

adherence to the official credit card policies, bill payments and addressing queries. The<br />

number of credit cards is strictly controlled.<br />

File Management and Archiving<br />

FMU manage the file management system which records all registered files for the<br />

Department of Finance and it provides a similar service to the Department of Public<br />

Expenditure and Reform. A new electronic Records Management System was developed in<br />

2015 to provide a centralised system of storing digital files incorporating the existing filing<br />

structure but migrating most newly created official documents to storage in digital format<br />

rather than physical paper files. This eDocs system will facilitate greater efficiencies in records<br />

management particularly in relation to the retrieval of documents and increased security and<br />

accountability for official files. FMU train staff in both Departments on the official filing policy.<br />

As part of the Department’s programme of work in relation to file management we have also<br />

been working to fulfil our obligations under the National Archives Act to transfer files that are<br />

more than 30 years old to the National Archives. During the crisis, this process had been<br />

deferred for a few years. During 2015, we appointed an Archivist and a small team and they<br />

have been working to process the relevant files in line with guidelines from the National<br />

Archives.<br />

The Health and Safety System<br />

FMU is implementing a new Health and Safety system in the Department of Finance and<br />

supports the Health and Safety function in the Department of Public Expenditure and reform<br />

as appropriate<br />

The Print Room<br />

The Print Room produces quality confidential printing work for the Department of Finance and also<br />

the Department of the Taoiseach, the Department of Public Expenditure and Reform, the shared<br />

services of PeoplePoint, Payroll, Financial Management and OGP and other Departments from time to<br />

time.<br />
