5.25.5 Reports should be in A4 size paper of good quality. 5.25.6 Reports should have Sl.No. Description of tests, Specifications & Results obtained. 5.25.7 Reports should be attached along with Spectra / Chromatography data sheets if applicable. 5.25.8 All test reports should be submitted to the KMSCL in triplicate. In case of failure of a sample, the result should be communicated immediately to the Managing Director through Phone / Fax / E-mail and the report should be sent with protocol. 5.25.9 If in any circumstances (like break down of instrument, non availability of reference standard etc.) the Analytical Laboratory is unable to undertake analysis for a sample, the same should be reported within 24 hours of receipt of such a sample by FAX or E-mail and the sample should be returned to the Manager (Quality Control), Kerala Medical Services Corporation Limited, Thiruvananthapuram. 5.25.10 If any sample is received in a damaged condition by the laboratory, the sample should not be analyzed and the information should be sent immediately to the Manager (Quality Control), Kerala Medical Services Corporation Limited, Thiruvananthapuram by FAX or E-mail. 5.25.11 In the case of Non-Pharmacopoeial Products the Method of Analysis should be appended to the Report, especially if the sample happens to fail. 5.25.12 Results to be sent through e-mail followed by signed hardcopy. 5.26 Payment Provisions 5.26.1 No advance payments towards Analysis of drugs will be made to the Lab. 5.26.2 Payments towards the Analysis of drugs will be made strictly as per terms and conditions laid down in the EOI document and the decisions of the EOI Inviting Authority. All payments will be made only by way of electronic fund transfer in favour of the laboratory for which the bank details shall be furnished to the Corporation at the time of entering into agreement. 5.26.3 The laboratory shall resist from deputing their representatives to the head office of the Corporation for follow up for payments as the Corporation has a system of publishing the status of payments in respect of invoices submitted to it on 10 th of every month. egard shall be in writing and the Corporation discourages the visits, phone calls etc as part of transparency. 5.26.4 All bills / Invoices in triplicate is to be submitted directly to the Headquarters. 5.26.5 If at any time during the period of contract, the testing fee of any items is reduced by the offerer himself or the taxes levied is brought down by any law or Act of the Central or State Government the offerer shall be bound to inform Corporation immediately about such reduction in the contracted prices. EOI Inviting Authority is empowered to unilaterally effect such reduction as is necessary in rates in case the offerer fails to notify or fails to agree for such reduction of rates. 5.27 Deduction in Payments & Penalties 5.27.1 All reporting should be made within the stipulated time as mentioned in clause 4.1.
