MAINTENANCE Please refer to the HLF 10 year Management & Maintenance Plan Chapter 6 for more detail on the following section, if required A7.1 MAINTENANCE SCHEDULE - CONFIRM The Parks and Countryside service employs the CONFIRM Environmental (Southbank Systems). CONFIRM is a suite of ICT products designed for the maintenance and management of all environmental assets, including, grounds, trees and playgrounds and property. The system’s Customer Services module is also utilised to track and monitor service responses to all customer contacts made by telephone, letter, email etc. Maintenance Contracts, Schedules, Rates and Site Works are generated using the system and our maintenance staff/ contractors receive work tickets, as appropriate. The Park’s Manager, Curator and site staff hold relevant copies of the paper printouts and reports relating to the maintenance of the site, which are generated via the system. Sheffield Botanical Gardens is a complex and diverse site, with a multitude of maintenance needs. A7.2 GARDENING As an aid to the Botanical Gardens staff an annual work calendar has been produced to assist in weekly work tasks and targets. (see appendix C12) As previously mentioned, the maintenance of the soft landscaping elements of the Gardens is primarily undertaken by the Garden’s staff and supplemented by the regular volunteer workforce (who are often highly skilled in horticulture). A7.3 TREE WORK The maintenance responsibilities for trees within the Gardens lie with the Botanical Gardens Curator and the Parks and Countryside Service’ Trees and Woodlands Section. Work is arranged and overseen by the Trees and Woodlands Section. Emergency work is normally passed to the specialist Tree Team in Streetforce to undertake. Pre-planned work is generally put out to tender using a list of preferred contractors developed by the Corporate Contracts Management Unit, using approved tender and related specification documents. A7.4 BUILDINGS The Botanical Gardens Curator, the DEL Premises and Assets Section are responsible for the maintenance and repair of all buildings and associated infrastructure. The strategy for maintenance is based upon the DEL Asset Management Plan (AMP) which has been formulated to give a long term maintenance and investment across the property stock. It specifically targets buildings and infrastructure where service provision is of the highest importance. Maintenance is divided into – • Responsive – work that is of a reactive nature and is procured and monitored via SCC’s internal help desk and includes work which is due to acts of vandalism; is of a health and safety nature or is due to component failure. • Planned & Minor Work- work that is carried out on a planned basis and can be the result of a responsive repair that needs addressing on a larger scale, or the upgrading of buildings and their components that have been identified as a priority from the AMP. This area of work also includes statutory testing of building services. 23
