‘Memorandum of Agreement’ between the ESE and the dental/endodontic national society
hosting the Biennial Congress of the ESE
1. Principles
.1 The „Memorandum of Agreement’ between the ESE and the Host Society is a binding
agreement that sets out the financial and management arrangements between the partners and
their obligations.
.2 The „Memorandum of Agreement’ must be signed by representatives of the Host Society
and be available in time for the spring meeting of the Executive Board meeting following the
approval of the host by the General Assembly in the autumn of the preceding year.
.3 The Host Society/Local Organising Committee will arrange to pay any outstanding expenses
and/or national local taxes and shall scrutinise and approve the final financial statement
provided by the professional congress organiser as soon as possible following the congress,
normally within 3 months. The Host Society/Local Organising Committee will arrange to
have the accounts audited and approved by a professional accountant.
.4 The Host Society/Local Organising Committee will forward their approved accounts, along
with the final congress report, to the ESE Executive Board for reviewing, normally four
weeks prior to the spring Executive Board meeting.
.5 Following approval of the final financial accounts by the ESE, the Host Society shall transfer
one half of the surplus income to the ESE. Part-payment of the surplus can be made prior to
the final approval of the accounts by negotiation between the Host Society and the ESE
Executive Board.
.6 The Host Society is responsible for all financial losses incurred as a consequence of the
congress.
