1. Aim<br />
The aim <strong>of</strong> <strong>the</strong> application and bidding procedure is to ensure that CRs participating at <strong>the</strong><br />
General Assembly are fully informed <strong>of</strong> <strong>the</strong> facts relating to each bid so as to be able to make<br />
an informed choice and select <strong>the</strong> best option. Information will be provided to <strong>the</strong> General<br />
Assembly via <strong>the</strong> bid pr<strong>of</strong>orma complemented by a short PowerPoint/video presentation by <strong>the</strong><br />
Host <strong>Society</strong>. Each applicant will have a maximum <strong>of</strong> 10 minutes to present <strong>the</strong>ir case with <strong>the</strong><br />
ESE Secretary ensuring that <strong>the</strong> timings are adhered to strictly.<br />
The choice <strong>of</strong> venue made by <strong>the</strong> CRs must be based upon:<br />
The written submission <strong>of</strong> <strong>the</strong> applying societies, particularly <strong>the</strong> completed pr<strong>of</strong>orma<br />
(Appendix 3);<br />
The PowerPoint/video presentation <strong>of</strong> <strong>the</strong> applying society at <strong>the</strong> General Assembly that<br />
describes <strong>the</strong> potential congress venue and its facilities, <strong>the</strong> host city along with o<strong>the</strong>r<br />
relevant factors that would impact upon <strong>the</strong> decision, e.g. access;<br />
Questioning <strong>the</strong> representative(s) <strong>of</strong> <strong>the</strong> applying societies on matters <strong>of</strong> fact in order to<br />
clarify uncertainty.<br />
2. Decision<br />
The decision made by individual CRs at <strong>the</strong> General Assembly should be based upon <strong>the</strong> facts<br />
presented, and whe<strong>the</strong>r <strong>the</strong> bid would result in a congress that was successful in terms <strong>of</strong><br />
scientific, social and financial criteria.<br />
Under <strong>the</strong> supervision <strong>of</strong> <strong>the</strong> ESE Secretary, those individual CRs with voting rights will cast<br />
<strong>the</strong>ir votes on <strong>the</strong>ir preference at <strong>the</strong> General Assembly and <strong>the</strong> bid receiving a simple majority<br />
<strong>of</strong> votes will be declared <strong>the</strong> winner and be invited to host <strong>the</strong> ESE Congress. CRs and<br />
accompanying colleagues from countries involved in <strong>the</strong> bidding process will not be allowed<br />
to remain in <strong>the</strong> GA during <strong>the</strong> presentations nor be allowed to cast a vote.<br />
3. Presentations by bidding national dental/endodontic societies<br />
The PowerPoint/video presentations should simply illustrate <strong>the</strong> case being made and<br />
complement <strong>the</strong> written information in a factual way without exaggeration or dramatisation.<br />
Presenting societies must not get in contact with <strong>the</strong> CRs or o<strong>the</strong>r relevant stakeholders prior to<br />
<strong>the</strong> presentations. Fur<strong>the</strong>rmore, no attempt should be made to influence <strong>the</strong> CRs by providing<br />
gifts prior to or during <strong>the</strong> presentation, or through o<strong>the</strong>r marketing activities.<br />
