Dear Event Planner,<br />

Thank you for considering <strong>Beach</strong> <strong>Grove</strong> <strong>Golf</strong> <strong>Club</strong> as the host venue for your<br />

special event. With our outstanding clubhouse services, we are confident that your<br />

dream event can be a reality.<br />

<strong>Beach</strong> <strong>Grove</strong> is located in sunny Tsawwassen and within easy driving distance<br />

from locations throughout the lower mainland and Vancouver Island. Our<br />

clubhouse, built in 1999, offers over 27,000 sq./ft. of designer slate, rock and rich<br />

woodwork. Our catering facility can serve up to 200 guests for lunch or dinner<br />

(restrictions do apply). In addition to the gorgeous inside surroundings and<br />

furnishings we also offer decks both on the upper and lower levels that show off<br />

the beautiful vistas of the golf course.<br />

At <strong>Beach</strong> <strong>Grove</strong> we are driven to provide our members and guests the highest<br />

possible hospitality standards. Our culinary team, is committed to providing the<br />

freshest ingredients all beautifully prepared and presented to your guests.<br />

This catering package is designed to enable you to plan a successful event at one<br />

of BC’s premiere private golf club’s. Together we will design an event that meets<br />

your goals while exceeding the expectations of your guests.<br />

Adhering to <strong>Club</strong> Policy:<br />

The use of cellular phones is prohibited everywhere in the <strong>Club</strong>house,<br />

including the deck areas. A house phone is available for your use in the<br />

phone room on the upper floor of the clubhouse.<br />

The following apparel is not allowed anywhere on the premises: all<br />

denim attire, tank tops or T-shirts, short skirts etc.<br />

The policies are also in effect during any other visits to the <strong>Club</strong>house<br />

to setup, takedown, or plan your event.<br />

The management and staff of <strong>Beach</strong> <strong>Grove</strong> <strong>Golf</strong> <strong>Club</strong><br />

are empowered by the Board of Directors to enforce<br />

these Rules of Conduct as well as Dress Code. Anyone<br />

found contravening these rules will be refused entry or<br />

asked to leave the <strong>Club</strong>house.<br />

We thank you for your cooperation in passing this<br />

information to your guests to avoid any confusion.<br />

Booking Guidelines<br />

Once you have decided to hold your private or corporate event at <strong>Beach</strong> <strong>Grove</strong> <strong>Golf</strong> <strong>Club</strong>,<br />

we offer you the following guidelines:<br />

1. Secure a date for the event: In order to do this, we require a signed contract and<br />

a non refundable minimum deposit of $500.00. Functions will not be secured until the<br />

deposit and signed contract are received.<br />

2. Decide on food and/or beverage requirements for this event: All food and<br />

beverage charges are subject to applicable taxes and service charges while final<br />

menu selection must be arranged with the <strong>Catering</strong> Office no later than 14 days prior<br />

to the event date.<br />

3. Guarantee the number of guests attending the event: The minimum guarantee<br />

of attendees is required no later than 7 days prior to the event date as well as a 75%<br />

payment of the estimated final bill. The actual charge for the event will be the<br />

minimum number guaranteed or the actual number of guests, whichever is higher. If<br />

a guaranteed number is not received, the contracted expected number will be the<br />

amount billed.<br />

4. Final Payment: After your event, the final payment becomes due upon receipt of<br />

your invoice. Late payments are subject to a 2% per month interest charge.

Room Rates<br />

The Library<br />

The Library is a beautifully decorated room with warm wood paneling, hardwood<br />

flooring and high ceilings. It is suitable for a sit-down meeting/dinner for up to 36<br />

people. It includes a comfortable leather furnished seating area with a beautiful<br />

fireplace. The private deck boasts views of Boundary Bay and Mount Baker.<br />

The Dining Room<br />

This cozy room opens onto a large, covered patio with spectacular views of the golf<br />

course. It is the smallest room available, suitable for a sit-down meeting or dinner<br />

for up to 36 people.<br />

The Banquet Room<br />

This room is the largest single hospitality space available for use at <strong>Beach</strong> <strong>Grove</strong><br />

<strong>Golf</strong> <strong>Club</strong>. It is suitable for a dinner/dance for up to 60 people or a seated dinner for<br />

up to 90 people. A private bar is located inside and the room opens onto a large<br />

patio with spectacular views of the golf course.<br />

** It is possible to open the partition wall between the dining room and banquet room to create<br />

a space suitable for a sit-down dinner of up to 140 people.<br />

The Entire Front of the <strong>Club</strong>house<br />

For larger group it is possible to open all partition walls so that the Ballroom, the<br />

Dining Room and the Member’s Mixed Grill can be enjoyed as one large space.<br />

This area would be suitable for a dinner/dance for up to 180 people, and a cocktail<br />

reception for up to 300 people. It has a beautiful fireplace, and opens on a large<br />

patio with spectacular views of the golf course and the city.<br />

<strong>Beach</strong> <strong>Grove</strong> <strong>Golf</strong> <strong>Club</strong> <strong>Catering</strong> Information<br />

Terms and Conditions<br />

• The use of <strong>Beach</strong> <strong>Grove</strong> <strong>Golf</strong> <strong>Club</strong> is restricted to Member’s and guests of Members. Non-member<br />

functions require a Member Sponsor in order to host their event at <strong>Beach</strong> <strong>Grove</strong> <strong>Golf</strong> <strong>Club</strong>.<br />

• All catering services, including food and beverage, must be provided by <strong>Beach</strong> <strong>Grove</strong> <strong>Golf</strong> <strong>Club</strong>. Exceptions<br />

may apply to services that the <strong>Club</strong> cannot offer. These services may be subject to a surcharge.<br />

• Health regulations and the Provincial Liquor Act prohibit the removal of food or alcohol during or after a<br />

function by the organizer or guests.<br />

• All corkage events are respectfully declined. This complies with British Columbia Liquor Laws stating that<br />

beverages cannot be brought into or taken out of a licensed establishment.<br />

• One menu is required for all guests. Limited dietary substitutions may be made upon prior request. These<br />

requests must be forwarded to the catering department no later than one-week before the event.<br />

• Final menu selection must be arranged with the <strong>Catering</strong> Office no later than 14 days prior to the event<br />

date. The substitution of wedding cakes for desserts included in our catering menus is not permitted.<br />

• All prices are subject to change up to 90 days before the actual event.<br />

• <strong>Beach</strong> <strong>Grove</strong> will provide food for the guaranteed number of guests plus 10% up to the maximum seating<br />

capacity of the room.<br />

• All services are subject to applicable taxes unless otherwise stated. All food and beverage is subject to a<br />

15% service charge. Under the GST Act the service charge is also subject to 5% GST.<br />

• A minimum guarantee of attendees and 75% payment of the estimated final bill is required one week before<br />

the event. The actual charge for the event will be the minimum number guaranteed or the actual number of<br />

guests, whichever is higher. Final payments for events are due upon receipt of invoice. Late payments are<br />

subject to a 2% per month interest charge.<br />

• <strong>Beach</strong> <strong>Grove</strong> <strong>Golf</strong> <strong>Club</strong> reserves the right to provide an alternate function space that is best suited for the<br />

group should the number of guests differ from the contracted number.<br />

• A deposit of $500.00 is required to confirm booking of the event. The date requested will not be finalized<br />

until the deposit is received. A further deposit of $1,000 is required one calendar month before the event.<br />

• In the case of cancellation, deposits are only refundable if a comparable function is booked in that place.<br />

All cancellations must be in writing.<br />

• A surcharge of $200.00 plus $3.00 per person will apply for ceremonies held on site. Any extra costs for<br />

equipment or rentals that are needed to host the ceremony will be the responsibility of the organizer or<br />

member.<br />

• A bartender fee of $20.00 per hour will apply (minimum of 4 hours) to any bar setup with sales of less than<br />

$500.00, where applicable.<br />

• All costs associated with the function, including extraordinary clean up or damage, is the responsibility of<br />

the organizer or member and will be applied to the final bill.<br />

Terms and Conditions<br />

• <strong>Beach</strong> <strong>Grove</strong> <strong>Golf</strong> <strong>Club</strong> will not accept responsibility for items brought on to it’s property or for any items left<br />

behind following event. Personal effects must be removed at the end of each event unless prior<br />

arrangements have been made with the <strong>Catering</strong> Office. Items left on <strong>Beach</strong> <strong>Grove</strong> <strong>Golf</strong> <strong>Club</strong> property are<br />

at the owners risk.<br />

• Please be advised that the times designated on your contract are politely enforced. Decorations/<br />

Decorators must be vacated no later than one hour past the designated end time. A surcharge of $200.00<br />

for every hour, or portion thereof, past the designated time will be charged.<br />

• The <strong>Beach</strong> <strong>Grove</strong> <strong>Golf</strong> <strong>Club</strong> catering department must approve any signage or decorations before they are<br />

displayed. The use of nails, tacks or any other damaging hanging device is strictly prohibited as is the use<br />

of confetti. A $50.00 charge will be levied for the cleanup of any confetti or confetti-like decoration.<br />

• The Society of Composers, Authors and Music Publishers of Canada (SOCAN) levy a fee applicable to all<br />

functions using music for entertainment purposes. SOCAN fees are $59.17 for dancing and $29.56 without<br />

dancing (plus GST) and are applied to the final bill.<br />

• <strong>Beach</strong> <strong>Grove</strong> <strong>Golf</strong> <strong>Club</strong> reserves the right to inspect and monitor all functions and to discontinue service to<br />

some or all guests in the event of the violation of <strong>Beach</strong> <strong>Grove</strong> <strong>Golf</strong> <strong>Club</strong> policies or Provincial laws.<br />

• Guests must abide by the dress code policy of <strong>Beach</strong> <strong>Grove</strong> <strong>Golf</strong> <strong>Club</strong> in that proper attire must be worn in<br />

and around the clubhouse: i.e. no denim attire, no tank tops or T-shirts, no short skirts etc. This includes<br />

any visits to the clubhouse to setup, takedown, or plan your event.<br />

• Guests must abide by the policy of <strong>Beach</strong> <strong>Grove</strong> <strong>Golf</strong> <strong>Club</strong> that prohibits the use of cellular telephones in<br />

and around the clubhouse.<br />

• Access to any parts of the <strong>Club</strong> or its golf grounds not previously arranged with the <strong>Catering</strong> Department is<br />

strictly prohibited. In a case where permission has been granted by the <strong>Catering</strong> Department, access is<br />

provided only when supervised by <strong>Club</strong>house staff.
