Do not identify the product or manufacturer on the outside of freight cartons. Mark cartons numerically to indicate the total being shipped (e.g., 1 of 6, 2 of 6, 3 of 6, etc.). Include your company’s name and booth number on each carton. Furnish your freight forwarder with accurate and complete shipping form. Shipped merchandise will be delivered to your booth. The greatest risk of theft occurs during set up and teardown. Be especially alert during these times. At the close of business each day, cover all display tables. This establishes a barrier to curiosity seekers and would-be thieves from selecting items to steal at a later time. Your Exhibitor badge allows entry into the exhibit hall during the move-in and move-out process. In addition, those with Exhibitor badges will be the first ones allowed into the hall and the last ones to leave. Therefore, be very careful and DON’T LOSE your badges! Make sure your staff members are the only people you allow to pick up badges. 6C. New York, NY Sales Tax Information All exhibitors selling products (including food and beverage) at Green Festivals must be registered with the State of New York before selling any products on the show floor. To register please go to: www.opal.ny.gov . For additional assistance please call 518-474-8275. During the show you must have a Certificate of Authority displayed. After the show you must pay taxes to the state of New York for any products sold on the show floor. For more information please visit: www.tax.ny.gov How to apply on-line: Go to www.opal.ny.gov 1. Go to “Click here to start” 2. Enter in Search Box your type of business 3. Click on the link to your type of business 4. Answer the questions that pertain to your particular business 5. You be directed to the “Customized List of Links page” 6. Check the box next to “Certificate of Authority to collect Sales Tax” 7. Check button #2 “Apply on-line for the selected applications” 8. Hit the CONTINUE button. Fill out the “New York State’s Online Permit Assistance and Licensing form Once submitted you will receive a confirmation email with an on-line OPAL ID number. This ID number will allow you to check your status of your certificate. Once completed, the status will change from PENDING to COMPLETE. Your Certificate of Authority will be mailed to you. PLEASE NOTE: This could take anywhere from 1-4 weeks depending on type of business. 6D. First Aid Green Festival will have an EMT onsite. The First Aid station is clearly marked on the floor plan. The First Aid station will be staffed during all event, move-in and move-out hours. If you need assistance, please report to the First Aid station. If you are having an emergency, please dial 911. 6E. Lost and Found All lost and found articles that are turned in will be located at the Box Office. After the event, all materials will be stored offsite for at least one month. If you are trying to locate a lost article after the event, please email tad@greenfestivals.org for assistance. 14 | P a g e
6F. Emergencies and Lost Children In the event of an emergency, please notify the first person you see in a Green Festival t-shirt or wearing a Green Festival staff credential. Staff with walkie talkies can call assistance the fastest. Sometimes children wander off. In the event a parent notifies the Green Festival staff that their child is missing, an announcement will be made over the loud speakers simply indicating that there is a lost child or parent. If you a spot the child, please bring them to the Exhibitor Services Desk located just inside the exhibit hall to the left of the main entrance. Staff will internally communicate to locate the lost child or parent. 6G. Discounted Hotels for New York Green Festival Discounted rates for Partners, Exhibitors and Attendees are located on our website. We strongly recommend making reservations well in advance. These hotel blocks are first come, first serve and will go quickly! Exhibitors are required to abide by city and state ordinances including all necessary health and fire permit. 2. No open flame is allowed inside the building. This includes burning of candles or incense. 3. Do not nail, screw, staple, pin, glue, tack, or tape any material directly to the fabric, walls, steel frame or carpeting. 4. Aisles and exits must be kept clear and free of all obstacles. Exhibitors shall not place chairs, furniture or any display items in the aisles. 5. Literature must be kept within booths. No handing out or displaying of literature outside of designated booth allowed. No solicitation of any kind is allowed outside of booth. 6. Individuals are not allowed to bring alcoholic beverages onto premises. 7. Keep music, microphones or other noise-producing items to a level that does not disturb neighboring exhibitors. 15 | P a g e
