Globus has now successfully been co-operat<strong>in</strong>g with thistechnology partner for <strong>the</strong> last seven years.Involv<strong>in</strong>g stakeholders <strong>and</strong> close co-operation with <strong>the</strong> technology providerhelps to ensure user acceptance. Managers at Globus are conv<strong>in</strong>ced that <strong>the</strong> e-procurement-system only works, if it is fully accepted by <strong>the</strong> users <strong>and</strong> fulfils <strong>the</strong>irspecific needs. Therefore, Globus organised several workshops, at which users of<strong>the</strong> system <strong>and</strong> technology partners worked jo<strong>in</strong>tly on <strong>the</strong> specification of <strong>the</strong>technical system.E-procurement is a long-term project <strong>and</strong> always work <strong>in</strong> progress. Globus hascome to realise that an e-procurement system is never fully developed,requirements change cont<strong>in</strong>uously <strong>and</strong> adjustments have to take place at all times.Moreover, <strong>the</strong> firm is conv<strong>in</strong>ced that <strong>the</strong> acceptance of a new system <strong>in</strong>creases, ifsuggestions for improvements from users are taken <strong>in</strong>to consideration. The new system provides a basis to procure <strong>in</strong>direct goods <strong>in</strong> amuch more organised way. Regard<strong>in</strong>g procurement at Globus, Mr. Ortner refers to <strong>the</strong>follow<strong>in</strong>g key benefits:Streaml<strong>in</strong>ed procurement processes. Compared to <strong>the</strong> former situation, <strong>the</strong>procurement of MRO goods at Globus is much more streaml<strong>in</strong>ed. Departments justhave to <strong>in</strong>dicate <strong>the</strong>ir needs on customised catalogues that can be imported to <strong>the</strong>e-procurement system by a s<strong>in</strong>gle mouse click. Contact persons at <strong>the</strong> stores canpool dem<strong>and</strong>s <strong>and</strong> set up orders electronically without any additional paper work.Suppliers receive orders immediately <strong>and</strong> can process <strong>the</strong>m directly with<strong>in</strong> <strong>the</strong>irsales systems. And f<strong>in</strong>ally, <strong>in</strong>voices can be checked automatically by compar<strong>in</strong>gdata on <strong>the</strong> <strong>in</strong>voices with <strong>the</strong> data stored <strong>in</strong> <strong>the</strong> system. Thus, less people, lesstime, <strong>and</strong> less manual work are needed to set up an order or to check an <strong>in</strong>voice.Focus on core bus<strong>in</strong>ess activities. By means of <strong>the</strong> new e-procurement system,s<strong>in</strong>gle departments with<strong>in</strong> <strong>the</strong> stores can focus on core bus<strong>in</strong>ess activities. ‘Today<strong>the</strong> butcher is focused on runn<strong>in</strong>g his butchery <strong>and</strong> <strong>the</strong> baker is focused on runn<strong>in</strong>ghis bakery, ra<strong>the</strong>r than deal<strong>in</strong>g with suppliers of MRO goods by fax or telephone’.(Mr. Ortner)Basis for strategic procurement activities <strong>and</strong> consolidation of buy<strong>in</strong>g power.S<strong>in</strong>ce <strong>in</strong>formation about procurement activities is easily available, aris<strong>in</strong>g expensescan be traced back <strong>and</strong> analysed by various statistic tools. In turn, <strong>the</strong> f<strong>in</strong>d<strong>in</strong>gsprovide a proper basis for consolidat<strong>in</strong>g <strong>the</strong> supplier base <strong>and</strong> negotiat<strong>in</strong>gfavourable framework contracts.
