2019 Alabama State Nurses Association Annual Convention TREASURER REPORT Frankie Wallis, DNP, NP-C Thank you for allowing me the privilege of serving as your treasurer. The day-to-day operations of ASNA rest on the shoulders of the Executive Director and ASNA Staff. The finances are monitored quarterly by the board and annually by the House of Delegates. Additional accountability is insured via contracted services with a professional accounting firm. The following is an overview about how finances are managed at ASNA. As an independent affiliate of the American Nurses Association, ASNA utilizes ANA’s centralized billing service for membership dues. Members pay through a portal set up in the ANA accounting system and each month an electronic deposit is made to the ASNA bank account in Montgomery. Other transactions related to income or expenses are managed by the ASNA Executive Director and through contracted services of Car, Riggs and Ingram, a long-standing Montgomery accounting firm. ASNA has two CRI accountants assigned to our association. One of these accountants comes into the ASNA office one day a week to process invoices, pay bills, do payroll, taxes, etc. ASNA receives three financial reports from CRI. First, is the general ledger report that records the status of our assets, liabilities and the net gain or loss. Second is a transaction journal that records every income and expense item in its designated account (line-item) category. Third, we receive an extensive profit and loss statement that compares every line item to the previous years income/expense year to date. ASNA consolidates data from these lengthy reports and presents an income/expense year to date budget report to the board for each quarterly board meeting. CRI also compiles quarterly and annual tax reports. These reports are reviewed and signed by the ASNA Executive Director and filed with the state and federal agencies. At the end of each calendar year, CRI conducts an audit and creates the annual asset and liability report that is presented to the ASNA House of Delegates in the Delegate Convention Book. This is a calendar year report. That is why at our fall convention, delegates receive the report from the previous calendar year. District funds have designated income and expense accounts within the ASNA system. Each district treasurer and president receive a record of their transactions for income and expenses along with their remaining balance in their monthly presidents’ reports from the central office. ASNA receives notice monthly from ANA of the portion of the overall membership dues that are assigned to each district. This money is automatically spread to the district accounts when the dues deposit is received from ANA. When districts have fund-raisers those checks/payments go directly into their district accounts. When districts have expenses they may send in a check request or use a reimbursement form if a responsible member has already incurred the expense. Expenses are recorded in the precise districts account. In addition to these professional efforts and safeguards, our ASNA By-laws assign budget oversight to the Finance Committee of the ASNA board. The Finance Committee consists of the Treasurer and at least three officers appointed by the board for a term of one year. This year, the board has designated the Treasurer and the five district treasurers as members of the committee. Of course, the Executive Director works with the committee to supply them with records and assist them in determining the budget for the coming year. The ASNA budget continues to be sound. We are looking into new ways to generate non-dues revenue. However, the most dependable source of income comes through growth in membership. As someone once said…in a vibrant organization - everyone is on the membership committee. I hope that you see yourself in that light. Let’s stay strong together! 43
