2 Checklist for employers<br />

This checklist covers the important steps that occur dur<strong>in</strong>g the apprenticeship or tra<strong>in</strong>eeship.<br />

• The employer <strong>and</strong> proposed apprentice or tra<strong>in</strong>ee complete <strong>and</strong> sign the Tra<strong>in</strong><strong>in</strong>g Contract with their Australian<br />

Apprenticeships Centre (AAC). AACs are funded by the Australian Government <strong>and</strong> services provided by AACs<br />

are free <strong>to</strong> employers<br />

• A summary tra<strong>in</strong><strong>in</strong>g plan must be prepared for all <strong>apprenticeships</strong> <strong>and</strong> <strong>tra<strong>in</strong>eeships</strong> except school-based<br />

<strong>apprenticeships</strong> <strong>and</strong> <strong>tra<strong>in</strong>eeships</strong>. The employer’s nom<strong>in</strong>ated registered tra<strong>in</strong><strong>in</strong>g organisation (RTO) must<br />

endorse the summary tra<strong>in</strong><strong>in</strong>g plan<br />

• For school-based <strong>apprenticeships</strong> <strong>and</strong> <strong>tra<strong>in</strong>eeships</strong>, a full tra<strong>in</strong><strong>in</strong>g plan must be prepared by the RTO <strong>in</strong><br />

consultation with the employer, apprentice / tra<strong>in</strong>ee <strong>and</strong> school <strong>and</strong> lodged with State Tra<strong>in</strong><strong>in</strong>g Services<br />

• The RTO will charge an adm<strong>in</strong>istration fee <strong>and</strong> possibly a fee for materials. The fee is payable by the<br />

apprentice, tra<strong>in</strong>ee or the employer. Check with the RTO for exemptions. See section 4.2.2 of this <strong>guide</strong> for<br />

more detail<br />

• The AAC checks the tra<strong>in</strong><strong>in</strong>g contract <strong>and</strong> tra<strong>in</strong><strong>in</strong>g plan <strong>and</strong> then submits them <strong>to</strong> State Tra<strong>in</strong><strong>in</strong>g Services for<br />

approval of the apprenticeship/tra<strong>in</strong>eeship<br />

• For some applications additional <strong>in</strong>formation or pre-requisites are required <strong>to</strong> employ a person <strong>in</strong> the <strong>in</strong>dustry or<br />

establish an apprenticeship or tra<strong>in</strong>eeship e.g.<br />

» licence <strong>to</strong> work <strong>in</strong> the security <strong>in</strong>dustry<br />

Application <strong>and</strong> Approval<br />

» Work<strong>in</strong>g With Children Checks for tra<strong>in</strong>ees undertak<strong>in</strong>g child-related employment<br />

» evidence of relevant previous work <strong>and</strong>/or tra<strong>in</strong><strong>in</strong>g <strong>to</strong> obta<strong>in</strong> credit for a shortened term<br />

» citizenship, permanent residency or specific Visa categories.<br />

AACs can advise employers about State Tra<strong>in</strong><strong>in</strong>g Services requirements for any additional <strong>in</strong>formation<br />

• Apprentices/tra<strong>in</strong>ees commence enrolment procedures with the selected<br />

RTO.<br />

After Approval<br />

• The employer <strong>and</strong> apprentice/tra<strong>in</strong>ee receive an approval letter from State Tra<strong>in</strong><strong>in</strong>g Services.<br />

• The date the tra<strong>in</strong><strong>in</strong>g contract becomes b<strong>in</strong>d<strong>in</strong>g is specified <strong>in</strong> the approval letter.<br />

• The registered tra<strong>in</strong><strong>in</strong>g organisation will develop a full tra<strong>in</strong><strong>in</strong>g plan <strong>in</strong> consultation with the employer <strong>and</strong><br />

apprentice/tra<strong>in</strong>ee <strong>and</strong> provide them with a copy.<br />

• Employers should check with their AACs regard<strong>in</strong>g eligibility for <strong>in</strong>centive payments from the Australian<br />

Government.<br />

• Apprentices/tra<strong>in</strong>ees should also check with the AAC regard<strong>in</strong>g their eligibility for travel <strong>and</strong>/or accommodation<br />

allowances <strong>to</strong> attend off-the-job<br />

Ongo<strong>in</strong>g<br />

tra<strong>in</strong><strong>in</strong>g <strong>and</strong> other f<strong>in</strong>ancial <strong>in</strong>centives<br />

• Employers should check regularly with their registered tra<strong>in</strong><strong>in</strong>g organisation <strong>to</strong> make sure that the apprentice/<br />

tra<strong>in</strong>ee is attend<strong>in</strong>g formal off-the-job tra<strong>in</strong><strong>in</strong>g (where appropriate) <strong>and</strong> is mak<strong>in</strong>g satisfac<strong>to</strong>ry progress <strong>to</strong>wards<br />

achiev<strong>in</strong>g their qualification.<br />

• Employers <strong>and</strong> their apprentice/ tra<strong>in</strong>ee must notify State Tra<strong>in</strong><strong>in</strong>g Services directly or through their Australian<br />

Apprenticeships Centre, if they wish <strong>to</strong> make changes <strong>to</strong> the tra<strong>in</strong><strong>in</strong>g arrangements (e.g. mutual cancellation,<br />

transfer or suspension) or vary the tra<strong>in</strong><strong>in</strong>g contract or tra<strong>in</strong><strong>in</strong>g plan (e.g. change of completion date, change of<br />

registered tra<strong>in</strong><strong>in</strong>g organisation, change of qualification or change <strong>in</strong> mode of tra<strong>in</strong><strong>in</strong>g delivery).<br />
