School officials <strong>and</strong> teachers with a legitimate educational interest. Theseindividuals must present specific requests relating to the welfare or advisement ofa particular student. The <strong>University</strong> official in charge of the records will determinethe request’s validity.Individuals designated in writing by the student to who records can be released.A request for release of records must include the following: specific information to be released reasons for such release the party to whom the records are to be releasedAuthorized representatives of the comptroller general of the United States <strong>and</strong>the administrative head of an educational agency or state education authorityauthorized to conduct an audit, evaluation, or investigation of a federallysupported program.Those persons or agencies dealing with a student’s application or receipt offinancial aid accrediting organizations in order to fulfill accrediting functions.Appropriate persons, if such information is needed to protect the health or safetyof the student or others.A student’s written release of records is required for the following: Use of <strong>University</strong> photographs for identification purposes by agencies outside the<strong>University</strong>; Information requested by police <strong>and</strong> government agencies conducting securityclearances <strong>and</strong> background checks.Personal information may be transferred to a third party only on condition that the partydoes not permit other access to such information without the written consent of the student.A written notice of this condition must be included with any information released.The <strong>University</strong> Registrar can provide directory information: name, address, dates ofattendance, major, degrees received, <strong>and</strong> the most recent previous educational institutionattended. All inquiries about directory information should be referred to the Registrar’sOffice. Students may request that their directory information not be released without theirconsent. This request must be made in writing to the Registrar within three weeks of thefirst day of classes.The <strong>University</strong> must maintain a log of requests for information from students’ records,excluding directory information.Students may file complaints with the Department of Education concerning alleged failuresby the <strong>University</strong> to comply with this law.Student records are kept in the following offices: <strong>Campus</strong> <strong>Life</strong> Office: student housing applications, housing contracts, disciplinerecords <strong>and</strong> conduct records; Financial Aid Office: student financial aid records; Registrar’s Office: admission applications, transcripts from prior institutions, <strong>and</strong><strong>Briar</strong> <strong>Cliff</strong> academic records; Vice President for Academic Affairs: academic records, correspondences such asprobation, Dean’s List <strong>and</strong> requests for policy waivers; Faculty Advisor’s office: records of tests, advising materials, <strong>and</strong> grade reports;34
