5.2.5 Conference Scheduling Conference scheduling functionality previously offered through the Conferencing Server web interface is now offered through the Application Server web and OSS interfaces. Supported conference types are as follows: � One-time � Recurring � Reservationless Note that ad-hoc conferences are essentially one-time conferences, the difference being in how they are created, that is the data that is provided at creation time is different. Both ad-hoc and scheduled conferences are subsequently modified in the same way. The following functionality is available: � Get current conferences per administrator, including delegators. These are conferences that are scheduled at the current time and/or have not yet finished (web only). � Get future conferences per administrator, including delegators (web only). � Get expired conferences per administrator, including delegators (web only). � Get all conferences per administrator, including delegators (OSS only). � Add conference (administrators can add conferences in their own name and in the name of a delegator). � Modify a conference. � Delete a conference. � Get conference access codes. There is a different code for leaders and participants. � Compose invitation e-mail, which opens an e-mail editor window pre-populated with conference data. The data is different for leaders and participants (web only). � Compose meeting request, which opens a Microsoft Outlook meeting request window pre-populated with conference data. The data is different for leaders and participants (web only). � Obtain the URLs for the Join a Conference page. There are different URLs for leaders and participants (web only). 5.2.6 Presentation Setup Presentation setup commands, available in the web interface only, are as follows: � Upload a Microsoft Word, Excel, or PowerPoint document. � Specify the password used to decrypt the uploaded document. � Obtain the status of the uploaded document (queued, ready, or error). � Delete a document. � Obtain URLs for the presentation web application (different URLs for leaders and participants). � Specify the password used to protect access to the presentation web application. � Obtain the above-mentioned password. 5.2.7 Ad-Hoc Conferencing From the Conferences page, a bridge administrator clicks a button to go to the Conference Quick Add page. The bridge administrators can easily create a conference, by invoking dial out from the bridge to their own phone and another participant’s phone. As soon as this is performed, the conference appears in the list of current conferences (as a one-time conference). This can also be performed through the OSS interface. 5.2.8 Conference Call Control and Recording Conference call control functionality is available to the bridge administrator from the main Application Server web application. A pop-up window opens from the Conferences Modify page and the bridge administrator can: � Obtain a list of participants currently on the call (the leader is specifically marked). A manual refresh of the web page is required to obtain the current status. � Mute a participant or all participants except for the leader (lecture mode). � Put a participant on hold or put all on hold. � Drop a participant or drop all participants. � Lock a conference (no new are participants allowed). � Call a participant (invoke dial-out from the bridge to a specified phone number). � Start or stop recording the conference. If there is a presentation, it is automatically recorded in HTML+TIME format at the same time. � Join the conference as the leader (initiate dial-out based on the phone number provisioned for the administrator). Note that muted participants can toggle their mute status by dialing ##1 (hand-raising feature). Note that leaders on a call can invoke dial-out from the bridge using a DTMF code. By dialing ##2, a voice prompt provides instructions how to add a new participant. In addition, the conference call control and recording functionality includes a way for the leader and participants to invoke a dial-out from the bridge to their phone number. This is done through a new “join a conference” stand-alone web application on the Application Server, to which the leader and participants gain access through the URLs shown in the Conferences Modify page. 5.2.9 Presentation Viewing and Moderating Presentation leaders (there can be more than one leader for a presentation) and participants access different stand-alone web applications on the Application Server. Leaders are able to perform the following operations: � Select the current document. � Select the current page (if the document is a PowerPoint document). � Move one page forward or backward (if the document is a PowerPoint document). � Jump to first or last page (if the document is a PowerPoint document). � Terminate the presentation. � Click on a link to open the Join a Conference web page (as a leader).
