General Information
Auditing of Courses
Effective Fall 2009, the college no longer offers students
the option to audit a course except when in the opinion of
the College President or his/her designee a student may be
adversely affected due to circumstances beyond the student’s
control. Any student granted permission to audit a course
cannot enroll until the 3rd week of class and will not be allowed
to later change his/her enrollment status in that course to
receive credit for the course. Priority in class enrollment shall be
given to students desiring to take the course for credit.
Withdrawals
Each student is responsible to complete OR officially withdraw
from each class in which he/she enrolls.
Failure to withdraw may result in an “F” or “NP” grade. Any
withdrawal during the first 4 weeks of the term of the class for
regular semester length classes will not appear on the student
transcript. After the 12th week for full semester classes and the
6th week for eight-week classes, a grade must be assigned for
each student who has not officially withdrawn. A “W” grade
is assigned if the student officially withdraws before the
withdrawal deadline.
See the Academic Calendar in this schedule for withdrawal
date information.
Students who are dropped by their instructors for missing the
first class meeting or for excessive absences should verify the
instructor drop with the Admissions Office in order to avoid
grade penalties and to comply with critical drop dates as
specified.
Students should be aware that “W’s” are used to determine
academic status and course repetition.
Students may withdraw/drop a class by:
1. Logging in to your MyGWC site. Drops will be allowed via
the web in accordance with published drop deadlines.
Please note: Be sure to click on “Finalize add/drop” after
you enter the CRN you wish to drop. Verify all withdrawals.
2. Mailing a letter or Student Drop Form by the drop deadline
date to Golden West College, 15744 Goldenwest Street,
P.O. Box 2748, Huntington Beach CA 92647-0748. The
letter or drop form should be sent to the attention of the
Admissions Office and the student needs to make sure the
envelope has a USPS postmark on or before the deadline
date. The Student Drop Form can be downloaded from
www.goldenwestcollege.edu
3. In-person in the Admissions Office during normal business
hours, Monday - Thursday, 9:00 am to 6:00 pm and Fridays
8:00 am to 12:00 pm. Student will be required to present a
valid GWC Photo ID, Drivers License, Military ID or Passport
to drop a class.
Note: Currently, a change is pending regarding the State
and District Course Repetition Policy that may affect
withdrawals. Please check with the Admissions & Records
Office or Counseling for updated information.
Military Withdrawals
A student who is a member of an active or reserve United States
military service who receives orders compelling a withdrawal
from the course, upon verification of such orders, is entitled
to withdraw from course at any times within the semester
without penalty. In accordance with district policy, all fees will
be refunded to the student associated with the courses.
Grading Options
Optional Pass/No Pass or grade classes
In these courses, students may elect to receive either a
traditional letter grade of “A” through “F” or a Pass/No Pass mark
for the course. This choice must be made within the first four (4)
weeks of the fall and spring semesters, and within 30% of the
course in short-term courses.
Requests can be submitted in-person or by mail. If mailing,
make sure the request is postmarked on or before the deadline
date. Requests received after the deadline will not be
processed.
Once the Pass/No Pass grading option deadline has passed, the
grade option cannot be reversed. Therefore, before selecting
this option, students should consult with a counselor. For
detailed information regarding the Pass/No Pass grading
option, please refer to the Golden West College Catalog.
Note: In classes graded on this basis, students are held to
attendance regulations and academic standards expected in
the standard graded courses.
Grades
Grade reports are not mailed. Students may access their grades
online by logging in to their MyGWC site. Students also have the
option of printing their own GWC unofficial transcript. Semester
grades are available online approximately 10 working days
after the end of the semester (excluding holiday periods).
