General Information<br />

Auditing of Courses<br />

Effective Fall 2009, the college no longer offers students<br />

the option to audit a course except when in the opinion of<br />

the <strong>College</strong> President or his/her designee a student may be<br />

adversely affected due to circumstances beyond the student’s<br />

control. Any student granted permission to audit a course<br />

cannot enroll until the 3rd week of class and will not be allowed<br />

to later change his/her enrollment status in that course to<br />

receive credit for the course. Priority in class enrollment shall be<br />

given to students desiring to take the course for credit.<br />

Withdrawals<br />

Each student is responsible to complete OR officially withdraw<br />

from each class in which he/she enrolls.<br />

Failure to withdraw may result in an “F” or “NP” grade. Any<br />

withdrawal during the first 4 weeks of the term of the class for<br />

regular semester length classes will not appear on the student<br />

transcript. After the 12th week for full semester classes and the<br />

6th week for eight-week classes, a grade must be assigned for<br />

each student who has not officially withdrawn. A “W” grade<br />

is assigned if the student officially withdraws before the<br />

withdrawal deadline.<br />

Students who are dropped by their instructors for missing the<br />

first class meeting or for excessive absences should verify the<br />

instructor drop with the Admissions Office in order to avoid<br />

grade penalties and to comply with critical drop dates as<br />

specified.<br />

Students should be aware that “W’s” are used to determine<br />

academic status and course repetition.<br />

Students may withdraw/drop a class by:<br />

1. Logging in to your MyGWC site. Drops will be allowed via<br />

the web in accordance with published drop deadlines.<br />

Please note: Be sure to click on “Finalize add/drop” after<br />

you enter the CRN you wish to drop. Verify all withdrawals.<br />

2. Mailing a letter or Student Drop Form by the drop deadline<br />

date to <strong>Golden</strong> <strong>West</strong> <strong>College</strong>, 15744 <strong>Golden</strong>west Street,<br />

P.O. Box 2748, Huntington Beach CA 92647-0748. The<br />

letter or drop form should be sent to the attention of the<br />

Admissions Office and the student needs to make sure the<br />

envelope has a USPS postmark on or before the deadline<br />

date. The Student Drop Form can be downloaded from<br />

www.goldenwestcollege.edu<br />

3. In-person in the Admissions Office during normal business<br />

hours, Monday - Thursday, 9:00 am to 6:00 pm and <strong>Fri</strong>days<br />

8:00 am to 12:00 pm. Student will be required to present a<br />

valid GWC Photo ID, Drivers License, Military ID or Passport<br />

to drop a class.<br />

Note: Currently, a change is pending regarding the State<br />

and District Course Repetition Policy that may affect<br />

withdrawals. Please check with the Admissions & Records<br />

Office or Counseling for updated information.<br />

Military Withdrawals<br />

A student who is a member of an active or reserve United States<br />

military service who receives orders compelling a withdrawal<br />

from the course, upon verification of such orders, is entitled<br />

to withdraw from course at any times within the semester<br />

without penalty. In accordance with district policy, all fees will<br />

be refunded to the student associated with the courses.<br />

Grading Options<br />

Optional Pass/No Pass or grade classes<br />

In these courses, students may elect to receive either a<br />

traditional letter grade of “A” through “F” or a Pass/No Pass mark<br />

for the course. This choice must be made within the first four (4)<br />

weeks of the fall and spring semesters, and within 30% of the<br />

course in short-term courses.<br />

Requests can be submitted in-person or by mail. If mailing,<br />

make sure the request is postmarked on or before the deadline<br />

date. Requests received after the deadline will not be<br />

processed.<br />

Once the Pass/No Pass grading option deadline has passed, the<br />

grade option cannot be reversed. Therefore, before selecting<br />

this option, students should consult with a counselor. For<br />

detailed information regarding the Pass/No Pass grading<br />

option, please refer to the <strong>Golden</strong> <strong>West</strong> <strong>College</strong> Catalog.<br />

Note: In classes graded on this basis, students are held to<br />

attendance regulations and academic standards expected in<br />

the standard graded courses.<br />

Grades<br />

Grade reports are not mailed. Students may access their grades<br />

online by logging in to their MyGWC site. Students also have the<br />

option of printing their own GWC unofficial transcript. Semester<br />

grades are available online approximately <strong>10</strong> working days<br />

after the end of the semester (excluding holiday periods).<br />
