ESCAPING THE CHAOS: WHY EMAIL IS LOSING ITS
GRIP ON DOCUMENT TRANSFER By Paul Decker, Co-Founder
Introduction
For decades email has been the go-to option for
companies seeking a quick and convenient way to share
important documents like RFQs, contracts, and quality
documentation. However, as technology advances and
cyber threats become more sophisticated, it has become
clear that email is no longer the most efficient or secure
way to transfer documents. In this article, we will explore
the increasing limitations and risks associated with email
as a document transfer tool and why modern cloudbased
tools, like SmartCert, which was co-founded by
fastener industry veteran Lyndon Lattie to help companies
exchange quality certifications, are becoming the new
industry standard. By breaking down the worsening
problems with email, we will take a closer look at how
these platforms make document transfer safer, more
efficient, and reliable.
The Changing Landscape Of Document Transfer
Over the years, email has transformed the way we
communicate and conduct business. It has provided
a platform for rapid exchange of information, enabling
global connections with the click of a button. From sharing
important files with colleagues to sending vital contracts
to clients, email has become an indispensable tool in
our daily lives. However, the sheer volume of emails we
receive daily, combined with the ever-growing threat of
cyber-attacks, has raised concerns about its efficacy and
security.
The risk of overlooking and forgetting about essential
documents in overflowing inboxes is growing. Cluttered
email folders make it easy to miss an important email
and despite improvements, it remains challenging to
search for and retrieve crucial files, leading to potential
delays and frustrating requests to resend documents.
Additionally, email’s limitations on file size can be
a significant obstacle. Moreover, cybercriminals are
constantly developing new and sophisticated phishing
techniques, targeting unsuspecting recipients through
deceptive emails. The consequences of falling prey to
such attacks can be devastating, particularly for smaller
manufacturers and distributors. As a result, businesses
are recognizing the urgent need to explore more secure
alternatives to email for document transfer.
The Rise of Cloud-Based Solutions
Amidst the challenges faced by email, cloud-based
document transfer solutions have emerged as a modern
and efficient alternative. Among these, SmartCert, which
helps fastener companies exchange quality certifications,
or “certs,” stands out as a simple to use emerging
technology that addresses the shortcomings of email and
modernizes the way important documents are exchanged.
