GSGATL’s Guidelines for Event Approval<br />

<strong>Girl</strong>-Led Beyond the Troop Events are any multi-troop or troop events that are held on the service unit level. They are generally<br />

single day events such as badge days, Journey Discovery Day, parent/daughter dances, family days, etc. They also include one-night<br />

overnights such as lock-ins and may even include two nights, such as a camporee or ingathering. Any event that will last more than<br />

three consecutive days does not fall under these guidelines. <strong>Service</strong> units and troops interested in hosting events lasting over three<br />

consecutive days must contact their membership specialist for further direction prior to any planning or incurring any expenses.<br />

Step 1 - Training<br />

The adult event director takes training called Planning Events Beyond the Troop. In this training, adults will learn how to help girls<br />

plan a successful event. You will also receive valuable tools and resources along with GSGATL speci�c information that will help to<br />

make your event successful.<br />

Step 2 – Brainstorming and submittal<br />

Form a girl committee and have them decide on an event theme, date and time, costs, etc. As far in advance as possible submit the<br />

Beyond the Troop Event Application to your service unit director (SUD) for approval. If this is a troop money earning event, the troop<br />

must complete the Application for a Money Earning Event and obtain permission from the service unit director when submitting the<br />

application for signature.<br />

Step 3 - Approval<br />

The SUD will review the application and forward it to GSGATL’s o�ce for �nal approval. Once the event is approved an email from<br />

GSGATL’s o�ce will be sent to the event director, service unit director and membership specialist for the area. An event sponsored<br />

by a troop or service unit is not approved until a Beyond the Troop Event application has completed the cycle <strong>of</strong> approval and an<br />

email has been received from GSGATL’s o�ce. Once the application has been approved non-member insurance is ordered and<br />

certi�cates <strong>of</strong> insurance are issued if needed.<br />

Step 4 – Final planning and advertising<br />

Once you have written approval for the event you may forward �yers and other information to service unit directors to share with<br />

troops.<br />
