Field modules. He noted that on 16 June 2005, <strong>the</strong> Under-Secretary-General for Safety<br />
and Security issued a Notification <strong>of</strong> Conferences which DESA circulated among<br />
Agencies immediately <strong>the</strong>reafter. The Notification stated:<br />
“Addresses are requested to make timely contacts with respective Designated Officials during<br />
<strong>the</strong> earliest stage <strong>of</strong> planning for conferences, seminars, workshops and o<strong>the</strong>r high-pr<strong>of</strong>ile<br />
activities in countries that will involve <strong>the</strong> travel <strong>of</strong> participants from o<strong>the</strong>r countries, <strong>of</strong>fices<br />
and regions. Early contact with Designated Officials in countries identified by Agencies,<br />
Funds and Programmes as <strong>the</strong> prospective host to seminar-like activities will enhance security<br />
coordination and enable <strong>the</strong> designated Officials to conduct essential security-related<br />
planning for <strong>the</strong> additional staff presence.”<br />
This directive was to be applied by all agencies, funds and programmes. It was advisable<br />
that before authorizing <strong>the</strong> travel <strong>of</strong> <strong>the</strong> trainees, <strong>the</strong> <strong>Fellowships</strong> Services and Sections<br />
provided <strong>the</strong>m with information relevant to <strong>the</strong>ir travel as well as <strong>the</strong> contact details<br />
<strong>of</strong> <strong>the</strong> Designated Security Officials in <strong>the</strong> country <strong>of</strong> destination. That information as<br />
well as <strong>the</strong> “Basic Security in <strong>the</strong> Field” module could be obtained from <strong>the</strong> website <strong>of</strong><br />
<strong>the</strong> Department <strong>of</strong> Safety and Security. <br />
Recommendation 7:<br />
Enhancement <strong>of</strong> <strong>the</strong> <strong>Fellowships</strong> Web Page and <strong>the</strong> Creation <strong>of</strong> a Shared Workspace<br />
61. The 7th recommendation had been fully implemented by UN/DESA. The <strong>Fellowships</strong><br />
Website had been redesigned and upgraded. It was user-friendly and more visible. The<br />
user could find new links to agencies, new documents and major fellowship-related<br />
events. A particular feature <strong>of</strong> <strong>the</strong> website was <strong>the</strong> e-forum, a shared-interagency workspace,<br />
which helped to fur<strong>the</strong>r develop <strong>the</strong> coordination mechanisms among agencies.<br />
Through <strong>the</strong> e-forum, <strong>Fellowships</strong> <strong>Officers</strong> could share ideas, exchange expertise,<br />
disseminate information, improve communication and ga<strong>the</strong>r valuable feedback from<br />
one ano<strong>the</strong>r. It could also serve as a useful tool to conduct electronic meetings on specific<br />
issues.<br />
Recommendation 8:<br />
The Publishing <strong>of</strong> a Global Newsletter on <strong>Fellowships</strong><br />
62. After <strong>the</strong> 15th <strong>Meeting</strong> had suggested that UN/DESA explored <strong>the</strong> possibility <strong>of</strong> publishing<br />
such a Newsletter, DESA was happy to inform <strong>the</strong> participants that, with <strong>the</strong>ir<br />
usual cooperation and support, <strong>the</strong> Newsletter had become a reality. The Newsletter was<br />
embedded in <strong>the</strong> <strong>Fellowships</strong> Website <strong>of</strong> UN/DESA. The Global <strong>Fellowships</strong> Newsletter<br />
was ano<strong>the</strong>r demonstration <strong>of</strong> <strong>the</strong> earnest commitment <strong>of</strong> <strong>the</strong> <strong>Senior</strong> <strong>Fellowships</strong> <strong>Officers</strong><br />
<strong>of</strong> <strong>the</strong> United Nations system, in collaboration with some major national placement<br />
