Section 16. <strong>SYSTEM</strong> DOCUMENTATIONGeneralA. Thirty (30) days prior to final system acceptance, <strong>the</strong> contractor shall deliver three (3) copiesof <strong>the</strong> following to <strong>the</strong> City; equipment & system manuals, engineering drawings, as-builddocumentation as well as system documentation of final field conditions.B. The City shall approve <strong>the</strong> contents and organization of all field documentation to besubmitted by <strong>the</strong> contractor.C. Costs associated with <strong>the</strong> documentation required shall be clearly and individually identifiedin <strong>the</strong> pricing section of <strong>the</strong> response.Documentation MediaA. Equipment & system manuals supplied by manufacturers will be accepted in <strong>the</strong>ir standard<strong>for</strong>m. In addition to documentation in printed <strong>for</strong>m, <strong>the</strong> contractor will also submit a completeset of documentation including systems diagrams, maintenance manuals, and equipmentmanuals in electronic <strong>for</strong>m such as PDF files, Microsoft Word, and AutoCAD.B. To <strong>the</strong> greatest extent, all field documentation shall be prepared in a <strong>for</strong>mat suitable <strong>for</strong> looseleafstorage in 3-ring binders. In addition, this in<strong>for</strong>mation shall be provided in an electronic<strong>for</strong>mat. The contractor shall supply <strong>the</strong> binders as necessary.C. Software and associated documentation shall be supplied to City on mutually agreed media.Installation DocumentationA. At a minimum, <strong>the</strong> following documentation shall be provided:1. Simple single line "as-built" system block diagrams <strong>for</strong> fixed end equipment installations.Blocks illustrated on <strong>the</strong>se diagrams shall be labeled in such a way as to easily identify<strong>the</strong> type of equipment represented.2. Simple single line "as-built" diagrams <strong>for</strong> <strong>the</strong> antenna systems at each main radio site.Diagrams shall be labeled in such a way as to easily identify <strong>the</strong> type of item representedincluding its make and model number. City envisions that, at a minimum, <strong>the</strong> followingitems will be illustrated:a) Antennas and associated mountsb) Main transmission line, coaxial jumper cables, and <strong>the</strong>ir approximate lengthsc) Cable entrance ports, lightning arrestors and ground strapsd) Filters, combiners, multicouplers, pre-amps, cross-band couplers, etc.B. For each repeater site, “as-built” antenna location plans illustrating <strong>the</strong> location, azimuth andheight above ground level of <strong>the</strong> mobile system antennas.C. For each radio site, simple “as-built” floor plans illustrating <strong>the</strong> location of equipment and/orequipment racks supplied under this contract in relation with o<strong>the</strong>r existing site equipment.For ease of reference, rack mounted equipment shall be shown as a frontal elevation view.All plans shall be scaled.
