APPENDIX 3<br />

Passports, visas and vaccinations<br />

20.7 The Tour Leader must check<br />

20.7.1 whether the state(s) to be visited will allow in travellers whose passport will expire within<br />

a few months of entry;<br />

20.7.2 the validity of passports of all members of the Tour.<br />

Notes:<br />

Academy Players who are not British nationals<br />

• may need a visa to travel to another EU member state<br />

• are not eligible for inclusion in a Collective Passport.<br />

Some tournaments require passports with photographs for player identification purposes. Collective<br />

Passports do not contain photographs.<br />

20.8 If any Academy Player is subject to a care order or is a ward of court, the social services department<br />

of the local authority or the court must be consulted well in advance.<br />

20.9 In the case of a Tour to (a) country(ies) which require(s) a visa and/or vaccinations, the Tour Leader<br />

must ensure that the Home Contact Person or some other responsible member of staff of the Club is<br />

also in possession of a valid visa for the country(ies) and has had the necessary vaccinations.<br />

Money and valuables<br />

20.10 The Tour Leader must tell Academy Players how to carry money and valuables discreetly. The group’s<br />

money, including Academy Players’ own pocket money should be held at a secure central location<br />

and distributed on a regular basis by a member of Staff.<br />

Home contacts<br />

20.11 The Tour Leader should tell Academy Players how to use local phones and give them the code(s) for<br />

phoning home.<br />

Documentation<br />

20.12 In addition to the documentation carried on Tours in the United Kingdom the Tour Leader must also carry<br />

• travel tickets<br />

• passports, visas and vaccination certificates<br />

• if a Collective Passport is being used, a head and shoulders photograph of each Academy Player<br />

Note:<br />

A sight of these photographs may be required by the Tour organiser for identification purposes. They may<br />

also be of value in case of emergency.<br />

• EHICs (if the Tour is to a European country) and significant medical histories<br />

• insurance arrangements and contact telephone numbers<br />

• address and phone number of the British Embassy or Consulate<br />

• location of hospital(s) and medical services and how to contact them<br />

• a separate list of the numbers of any documents and passports<br />

20.13 The Home Contact Person must be provided with appropriate matching documentation.<br />
