Once you choose your recorders , it’s<br />

essential to arrange a time to brief them on<br />

the <strong>Age</strong> <strong>Friendly</strong> City and County programme<br />

and explain their role as recorders at the<br />

consultation in advance of the event. Some<br />

<strong>Age</strong> <strong>Friendly</strong> Coordinators organise a<br />

workshop for facilitators and recorders in<br />

advance of the consultations to make sure<br />

everyone fully understands the process.<br />

for Public Consultation<br />

Setting up the consultation<br />

• The aim should be to consult with a<br />

balanced representation of older people in<br />

the area. Therefore it would be important to<br />

achieve a balance of geographical spread,<br />

urban/rural, gender, age, disability level,<br />

and socio-economic factors.<br />

• Particular efforts should be made to ensure<br />

that the people consulted include the ‘hard<br />

to reach’ eg people with varying levels of<br />

disability and those in residential care etc<br />

• Achieving representation on the basis of<br />

socio-economic characteristics is best done<br />

through the location of the consultation<br />

session rather than asking potentially<br />

intrusive questions about personal income.<br />

• Ideally, experienced facilitators should be<br />

found to carry out the sessions<br />

Recording the session<br />

Each session should be recorded and<br />

transcribed. A written record should be kept<br />

which details the following<br />

• Number, date and location of the session<br />

• Number of people who attended,<br />

breakdown by gender, age, socio economic<br />

profile (if possible) and if they have a<br />

disability, if appropriate, ideally<br />

• Names of facilitators and note takers<br />

• Quotes from speakers on each of the<br />

topic areas<br />

• The aim should be to include the broad<br />

range of opinion rather than seek consensus<br />

among participants<br />

The views of family carers should also be sought<br />

– this may be done as a dedicated consultation<br />

session or as a topic within one session.<br />

The WHO Global <strong>Age</strong> <strong>Friendly</strong> Cities ‘Vancouver<br />

protocol’ provides recommendations on<br />

carrying out focus group consultations and<br />

includes a focus group questionnaire, an<br />

analysis guide and results summary sheet for<br />

the focus groups, declaration of consent form,<br />

and participant information sheet.<br />
