3. Student organizations must keep accurate records of funds raised and spent. Records<br />
must include a merchant produced or non-University document that records the<br />
relevant details for each item purchased including quantities, amounts, a description<br />
of what was purchased, the total charge amount and the merchant’s name and<br />
address (e.g., sales receipt, original invoice, packing slip, credit receipt, email order<br />
confirmations, etc.).<br />
4. Money raised from a fundraiser cannot be used without depositing it into a<br />
University account first. All monetary donations must be deposited into a University<br />
account within two working days of receipt.<br />
- To deposit revenues, students must complete a Cash Receipt Transmittal form<br />
(available on the Wilkes Portal, Controller’s Office channel) and deliver it to<br />
Student Services Desk.<br />
- Students are asked to contact Public Safety (408-4999) for an escort to the<br />
Student Services Center when depositing revenues in excess of $100.<br />
5. In order to use Wilkes University’s name or logo on fundraising merchandise or<br />
promotional materials, student groups must receive written approval from the Office<br />
of Marketing Communications (Contact: Associate Director of Creative Services at<br />
408-4775).<br />
6. Students are not authorized to sign contracts on behalf of the institution. Groups<br />
who are planning to use outside vendors/entertainment must submit the appropriate<br />
contract to the Procurement Office (Contact: Procurement Director at 408-4554).<br />
7. Solicitation of off campus organizations or individuals must be approved by the<br />
Office of Advancement (Contact: Director of Alumni Relations and Annual Giving at<br />
570-408-4135).<br />
- Any gifts received (cash or in-kind) must be deposited into a University<br />
account and properly receipted by the Office of Advancement.<br />
8. The name of the club/organization and purpose of the fundraiser must be clearly<br />
visible during all fundraising events.<br />
9. All on-campus and off-campus fundraising activities must adhere to all policies set<br />
forth in the Student Handbook.<br />
D. Fundraising for Charitable Causes<br />
Fundraising activities for charitable causes are permissible provided the above<br />
guidelines are adhered to along with the following.<br />
1. Prior to conducting fundraising activities for non-profit, charitable organizations,<br />
student groups must submit a statement of support from the organization that<br />
authorizes the fundraiser to occur on its behalf.<br />
2. Educational information about the charitable organization and the services it<br />
provides must be made available at the fundraising event.<br />
