GR 10.4 REQUESTS FOR INFORMATION<br />

Requests from the contractor to the A/E during construction shall be via the <strong>University</strong>’s<br />

Request for Information (RFI) form. See <strong>Facilities</strong> <strong>Management</strong> Division 1 Specification<br />

<strong>Guidelines</strong> (Division 1 Template) available at<br />

http://www.fm.virginia.edu/fpc/ContractAdmin/Documents/Division1.docx.<br />

GR 10.5 PRECONSTRUCTION MEETINGS<br />

A preconstruction meeting, scheduled by <strong>Facilities</strong> Planning and Construction, shall be<br />

held at a convenient <strong>University</strong> location prior to commencement <strong>of</strong> construction<br />

activities. The meeting will be conducted to review the following responsibilities and<br />

personnel assignments:<br />

Attendees: the Project Manager, the Construction Administration Manager, the A/E, the<br />

contractor, the contractor's Superintendent, representatives <strong>of</strong> the major<br />

subcontractors (including Division 17 automated building systems subcontractor),<br />

manufacturers, suppliers, and other concerned parties. Attendees shall be represented<br />

by persons familiar with and authorized to act on matters relating to the work. DCR’s<br />

stormwater reviewer and the <strong>University</strong>’s erosion and sediment control inspector must<br />

also be invited to the preconstruction meeting, if the project triggered plan submittal<br />

requirements. DCR should be notified <strong>of</strong> the preconstruction meeting at least one week<br />

in advance.<br />

Agenda: Construction Administration Manager will conduct the meeting during which<br />

attendees will discuss items <strong>of</strong> significance that could affect progress including, but not<br />

limited to:<br />

· Application for payment · First aid<br />

processing · Housekeeping<br />

· Blasting authority and procedures · Inspection and testing<br />

· Building access routes · LEED documentation and testing<br />

· Change order procedures · Minimum protective clothing<br />

· Communications and · Neighborhood impact and contact<br />

correspondence · Noise and noise abatement<br />

· Construction schedule · Parking<br />

· Contract document distribution · Permits, other than excavation<br />

· Critical work sequencing · Personal conduct and standards<br />

· Equipment deliveries and · Progress photographs<br />

priorities · Record document requirements<br />

· Excavation permits · Responsible personnel designation<br />

· Existing construction protection · Schedule <strong>of</strong> pay request submittals<br />

· Field decision procedures · Utilities interruptions<br />
