5.13 Centre Log - archiving<br />
Material deemed necessary to be retained as a hard copy shall be arranged in a<br />
chronological order and securely stored on a daily basis.<br />
Each daily package shall be labelled with workstation identification and date.<br />
5.14 Electronic Distribution Systems<br />
Copies of all material sent or received at the Port Control Centre over e-mail, fax, or<br />
other electronic means shall be retained in their original printed form. Should a<br />
message need to be edited a copy of the message shall be made.<br />
Electronic logging entries may be backed up on alternative computer storage media.<br />
A hard copy of sent/received faxes shall be retained.<br />
5.15 Audio/video recordings<br />

Other than a scheduled change, recordings may be removed for the following<br />

Recording equipment failure<br />
Maintenance requirement<br />
When the <strong>Harbour</strong> Master deems it necessary.<br />
A blank media shall be used to replace the removed media<br />
On removal the media shall be labelled.<br />
Storage<br />
Media shall be stored in a secure place and away from extreme temperatures and<br />
strong magnetic fields.<br />
5.16 Release of log information<br />
All information comprising the Centre log with the exception of current operational<br />
information, weather data, and scheduled broadcast information, is considered<br />
