4.2 Feedback reports<br />
All <strong>stock</strong> management systems should be designed with feedback mechanisms.<br />
Feedback should be given not <strong>on</strong>ly when there is a problem; positive feedback is<br />
extremely important <strong>for</strong> the lower levels. Facilities also would like to see in feedback<br />
reports how their per<strong>for</strong>mance would fit within the overall system.<br />
Feedback reports in<strong>for</strong>m lower levels about their per<strong>for</strong>mance and provide in<strong>for</strong>mati<strong>on</strong><br />
about other facilities in the same level. They may point errors in incoming reports<br />
and provide guidance <strong>on</strong> how to correct them. In additi<strong>on</strong>, feedback reports let the<br />
pers<strong>on</strong> sending the report knowing his/her work has been received and<br />
processed. Feedback reports may be used to motivate lower levels to send complete,<br />
error-free reports <strong>on</strong> time by reporting which sites are producing quality reports.<br />
Preparing feedback reports is easiest when the system is automated.<br />
Computers quickly calculate mathematical errors and highlight missed deadlines;<br />
list the percentage of expected reports received. Feedback reports are essential <strong>for</strong><br />
manual systems too. But more time and ef<strong>for</strong>t is needed to prepare them manually.<br />
