Whenever information resources personnel go into a faculty or staff office without the faculty/staff<br />

member present, they should leave a message indicating why they were there<br />

and what was done.<br />

It is the faculty or staff member’s responsibility to contact Information Resources regarding<br />

deletion of files upon termination of employment at <strong>Butler</strong>. Any mail system specific<br />

files abandoned by a user will be deleted. Any other files abandoned will be deleted or<br />

retained for use by the <strong>University</strong> as determined by the Chief Information Officer or<br />

his/her delegate.<br />

7. <strong>Student</strong> accounts and any associated files are subject to deletion at the beginning of the next fall<br />

or spring term for which the student fails to register.<br />

Electronic Mail<br />

1. The purpose of electronic mail is to enhance communication. Therefore, it is important that all<br />

faculty/staff members be connected to the system and that a system be selected that will ease<br />

communication between different types of computers.<br />

2. Pursuant to the Electronic and Communications Privacy Act of 1989, Title 18, United States<br />

Code, Sections 2510 and following, notice is hereby given that there are no facilities provided by<br />

the <strong>University</strong> for sending or receiving confidential messages. The computing system administrator,<br />

and his or her designates, may have the ability to view all messages and files of any user.<br />

However, it is not the routine policy of the administrator to review messages, and the general<br />

policy is to keep messages private, even though such privacy cannot be guaranteed.<br />

3. Privacy of messages routed off campus is not within the control of <strong>Butler</strong> <strong>University</strong>.<br />

4. Electronic mail addressed to a <strong>Butler</strong> network address for a student, faculty or staff member who<br />

is no longer attending or employed by the <strong>University</strong> will be deleted. There will be no attempt<br />

made to ascertain the contents of messages, whether previously read by the addressee or not.<br />

5. Electronic mail is required to carry a valid “from” name of the individual who sent it. Mail represented<br />

as being from someone other than the sender will be considered a violation of these<br />

guidelines that can result in student conduct action.<br />

External Network Use 1<br />

1. The Internet connection at <strong>Butler</strong> is for the use of persons legitimately affiliated with <strong>Butler</strong><br />

<strong>University</strong> or affiliate organizations, to facilitate the exchange of information consistent with the<br />

academic, educational and research purposes of its members.<br />

2. Use of external networks shall:<br />

(a) Avoid interfering with the work of other users of the networks. Messages that are likely to<br />

result in the loss of recipients’ work or systems are prohibited.<br />

(b) Avoid disrupting the network host systems (nodes).<br />

(c) Avoid disrupting network services.<br />

3. Users of external networks are expected to be responsible in their use:<br />

(a) “Chain letters,” “broadcasting” messages to lists or individuals, and other types of use that<br />

would cause congestion of the networks or otherwise interfere with the work of others are<br />

not allowed.<br />

(b)<br />

External networks are not to be used from <strong>Butler</strong> for commercial purposes, such as marketing,<br />

reselling bandwidth, or business transactions between commercial organizations.<br />

4. Any communication that violates applicable laws and regulations is not allowed. In particular,<br />

any messages and data sent to destinations outside the U.S. must satisfy the Department of<br />

Commerce regulations (either be within the GTDA guidelines for information that may be generally<br />

transmitted or have the required license).<br />
