Council tables and chairs could remain set up until the full hall was needed for a large
event, and the room can be secured to reduce any damage to the tables. When there is
a wedding or a large number of “shufflers”, the tables that are being proposed are
mobile and can be easily moved. In the event storage of Council items is required, it can
be accommodated on site with just minor rearrangements.
After reviewing the site, it was determined that moving the meetings to the Legacy
Centre would be an excellent option for Council to consider, and could be
accommodated with minimal costs.
Some of the other advantages include:
1. There is ample parking to accommodate Council and members of the audience;
2. The building is pre-wired for an audio system that could be re-routed to
accommodate the Council configuration and would be compatible with the new mixer
board and microphones;
3. Staff has reviewed the room configuration and has identified several options for
projections to ensure that the members of Council and the members of the public can
view presentations;
4. The majority of the activities currently taking place in the evening in Thomas Hall can
be accommodated on other nights, or possibly at the Thedford Village Complex;
5. Staff is on site for set up, which is a considerable time/cost savings;
6. Purchasing the required furniture and undertaking the minor modifications could be
accomplished within the budget allocation;
7. The Village Complex would once again be available to the seniors and the other
community groups
Recommendation on timing:
If the option of using the Legacy Centre as the Council Chambers is endorsed, it is
recommended that the change take place for the April 8 th Council meeting, which will
allow time for the furniture to be ordered and minor modifications complete, and to
provide sufficient notice of the change of location.
Preferred Time of Meeting and Council Meeting Night:
At the February 19 th meeting, a brief discussion was held on the best time for Council
meetings to ensure the business of the Corporation was completed efficiently and
effectively. One suggestion Council was asked to consider was having meetings run
from 4:00 – 6:00 and 7:00 to 9:00, with any confidential matters discussed from 5:30 to
6:00 to minimize disruptions to the public that attend meetings. Council asked for time
to consider this possible change.
