11. Library, Documentation and<br />

Archival Services<br />

11.1 Overview<br />

Library cum Documentation and Archival unit <strong>of</strong> the<br />

NIOS collects, organizes and disseminate primary,<br />

secondary, and tertiary resources <strong>of</strong> information. It<br />

houses a print collection <strong>of</strong> 17,330 books, 14,7<strong>10</strong><br />

loose issues <strong>of</strong> journals and non-print collection <strong>of</strong><br />

727 audio/video cassettes particularly on distance<br />

education, and various subjects <strong>of</strong>fered by the NIOS<br />

on <strong>Open</strong> Basic Education, Secondary, Senior<br />

Secondary and Vocational Education Programme. It<br />

receives about 90 <strong>National</strong>/ International journals and<br />

23 magazines, 19 Daily and 2 Weekly newspapers<br />

on subscription basis. It also receives newsletters <strong>of</strong><br />

CBSE, COBSE, COL, DELNET, ICDL, IQF,<br />

CIIL, IGNOU, NUEPA, NCERT, NCSTC etc.<br />

<strong>The</strong> main objective <strong>of</strong> the NIOS library-cumdocumentation<br />

and archival unit is to cater to the needs<br />

<strong>of</strong> academic, non-academic staff, research scholars<br />

and other educational experts engaged in preparation<br />

<strong>of</strong> study material for the NIOS learners.<br />

11.1 Important Activities<br />

<strong>The</strong> NIOS Library-cum-documentation and Archival<br />

unit performs the following tasks to provide its<br />

services:-<br />

11.1.1 Technical Processing<br />

NIOS library uses Dewey Decimal Classification<br />

Scheme 20 th Edition for classification <strong>of</strong> procured<br />

books and Anglo-American cataloguing rules for<br />

cataloguing <strong>of</strong> books and other documents procured<br />

by the library. During <strong>2009</strong>-<strong>10</strong> more than 340 books<br />

were classified and catalogued.<br />

11.1.2 Scanning for Educational News<br />

During <strong>2009</strong>-20<strong>10</strong>, about 4350 newspapers/<br />

magazines/journals were scanned for identifying news<br />

items and articles on Education, Distance Education<br />

and particularly on NIOS and 7<strong>10</strong> news items were<br />

identified and kept for future reference.<br />

11.1.3 Updation <strong>of</strong> Library Database<br />

All procured books and subscribed journals are<br />

entered in the library data base and updated<br />

periodically. Data relating to issue/return <strong>of</strong> books and<br />

journals is also entered and updated.<br />

11.1.4 <strong>The</strong> Archival Section<br />

It collects, stores and preserves all documents<br />

published by the NIOS. All print and non print<br />

documents such as study material, newsletter,<br />

magazines, journals, Annual Reports, Prospectus,<br />

Conference Reports, and other important documents<br />

which have a significant academic and archival value<br />

for open and distance learning system are preserved.<br />

During the year <strong>2009</strong>-<strong>10</strong>, about 200 documents were<br />

received in archival section.<br />

11.2 Library Services<br />

<strong>The</strong> NIOS Library provides the following services:<br />

11.2.1 Circulation Service<br />

It includes issue/return <strong>of</strong> items which includes books,<br />

journals, magazines, audio/video cassettes and CDs,<br />

registration <strong>of</strong> new members and issue <strong>of</strong> ‘No<br />

Demand Certificate’ and reminders for overdue<br />

books. During the year, about 6,700 items were issued<br />

and returned. ‘No Demand Certificates’ were issued<br />

to fifteen staff members. Eighty five reminders were<br />

sent to the library members to recover the overdue<br />

books.<br />

11.2.2 Inter-Library Loan<br />

In this service, items are made available from other<br />

libraries to the users on Inter-Library Loan, in case<br />

<strong>of</strong> non-availability <strong>of</strong> required items in the NIOS<br />

Library. More than 60 documents were made available<br />

from different Libraries through DELNET.<br />

(Developing Library Network).<br />

11.2.3 New Additions Bulletin<br />

Under this service list <strong>of</strong> new additions in the library<br />

which includes books, journals and other documents,<br />
