<strong>ENEN</strong>-II<br />
7.1.6 Project meetings<br />
In order to plan, organise and tracking the project meetings and the related expenses, they are<br />
combined in a separate <strong>Work</strong> Package and include<br />
The meetings <strong>of</strong> all parties (<strong>ENEN</strong> members and external partners) involved in the project.<br />
The meetings are convened by the Office <strong>of</strong> the <strong>ENEN</strong> Secretary General:<br />
- Kick-<strong>of</strong>f meeting within one month after the start <strong>of</strong> the project;<br />
- Mid-term meeting and workshop after 12 months;<br />
- Final project meeting in the 24 th month.<br />
Management Committee meetings<br />
Shortly before each <strong>of</strong> the meetings under (6a) the extended <strong>ENEN</strong> Management Committee<br />
will have a meeting, together with the <strong>Work</strong> Package leaders (if not already represented) to<br />
evaluate the project progress, prepare the progress meetings and decide on the allocation <strong>of</strong><br />
project resources.<br />
<strong>Work</strong> Package meetings<br />
The <strong>Work</strong> Package leaders will organise meetings <strong>of</strong> the parties involved to decide on the<br />
distribution <strong>of</strong> tasks, the time schedule and the use <strong>of</strong> resources within their <strong>Work</strong> Package.<br />
Each <strong>Work</strong> Package will meet as required with a minimum <strong>of</strong> three meetings during the<br />
implementation phase <strong>of</strong> the project.<br />
It is obvious that the involvement <strong>of</strong> a large number <strong>of</strong> participants in the Project Progress and<br />
the <strong>Work</strong> Package meetings results in an appreciable number pmm’s dedicated to meetings.<br />
The Kick-<strong>of</strong>f meeting, the three progress meetings and the final meeting amount to at least<br />
five days for each participant. The three <strong>Work</strong> Package meetings add another week, resulting<br />
in about half a month per participant and amounting to 10 pmm in total for the meetings. As<br />
this represents a sizeable fraction <strong>of</strong> the project, the meetings are grouped in a separate <strong>Work</strong><br />
Package in order to avoid that the time and financial allotments provided to the smaller<br />
partners consume their resources without actual work being done.<br />
7.1.7 Management <strong>of</strong> the <strong>ENEN</strong>-II Project<br />
The <strong>Work</strong> Package includes all actions related to the management <strong>of</strong> the project, the<br />
coordination <strong>of</strong> the <strong>Work</strong> Packages, the collection and dissemination <strong>of</strong> management and<br />
financial information, the preparation <strong>of</strong> contractual documents and reports related to the<br />
project management, the conduction <strong>of</strong> financial surveys and audits, the financial settlements,<br />
banking activities, and the financial reporting. It also includes to some extent the external<br />
communication and dissemination <strong>of</strong> information about the <strong>ENEN</strong>-II project. The<br />
management tasks will be carried out essentially by the Board <strong>of</strong> the <strong>ENEN</strong> <strong>Association</strong> as the<br />
coordinator <strong>of</strong> the project and the extended Project Management Committee. Daily<br />
management is assured by the Office <strong>of</strong> the <strong>ENEN</strong> Secretary General.<br />
