RECORDKEEPING SYSTEM EXAMPLES<br />

Example 1: Paper Stewardship Files<br />

Paper Files are organized <strong>in</strong>to Legal Files and Monitor<strong>in</strong>g Files alphabetically by Town<br />

and with<strong>in</strong> Towns by the conserv<strong>in</strong>g landowner name. Electronic data is organized <strong>in</strong> a<br />

relational database with the Project Cost Code as the unique identifier and has three<br />

sections of tables: budget tables, parcel tables and stewardship tables. The database is<br />

backed-up and is stored off-site <strong>in</strong> a secure network. All archived paper documents are<br />

accessible with<strong>in</strong> a few days of request.<br />

Legal File: Legal size hang<strong>in</strong>g folder with file name on tab at right front corner; holds<br />

legal size manila folder (with two-prong fasteners front and back)<br />

• Front: Orig<strong>in</strong>al recorded or legal documents or copies of orig<strong>in</strong>als, as<br />

appropriate, for waivers and subord<strong>in</strong>ations only. Approvals, permissions, key<br />

correspondence, etc. go <strong>in</strong> monitor<strong>in</strong>g.<br />

• Back: Recorded orig<strong>in</strong>als with record<strong>in</strong>g stamps (or copies of recorded<br />

orig<strong>in</strong>als); <strong>in</strong>cludes: conservation easement, transfer return, title policy, partial<br />

release of mortgage, etc.<br />

Monitor<strong>in</strong>g File: Letter size hang<strong>in</strong>g folder with file name on tab at right front corner;<br />

holds letter size classification folder (six sections with two-prong fasteners and two<br />

pockets) and green v<strong>in</strong>yl protector (for use by monitors <strong>in</strong> the field)<br />

• Section 1: Monitor<strong>in</strong>g forms – each annual report added<br />

• Section 2: File Information Sheet, real estate tax assessment<br />

description, project summary, news clipp<strong>in</strong>gs, key<br />

essential letters; personal, <strong>in</strong>formation about owner<br />

• Section 3: <strong>Conservation</strong> easement copy plus any amendments<br />

• Section 4: Approvals, permissions, appraisal summary<br />

• Section 5: Management plans (forest, agricultural, recreation)<br />

• Section 6: Basel<strong>in</strong>e documentation report (BDR) - orig<strong>in</strong>al<br />

• Pockets: Folded maps<br />

• Plastic Protector: Copies of easement, BDR, approvals and maps for use by<br />

monitors <strong>in</strong> the field<br />
