In plann<strong>in</strong>g your database, remember that <strong>in</strong>formation is data that you<br />

retrieve, organize and present <strong>in</strong> a mean<strong>in</strong>gful way. You store data. You<br />

• Communication with other databases<br />

• Queries and reports<br />

Tips for Creat<strong>in</strong>g and Us<strong>in</strong>g a Database<br />

One person should be <strong>in</strong> charge of manag<strong>in</strong>g the database.That person<br />

should also have a well-tra<strong>in</strong>ed and <strong>in</strong>volved backup manager who can<br />

answer questions when the lead manager is unavailable.<br />

Tra<strong>in</strong><strong>in</strong>g and tim<strong>in</strong>g are critical. Whoever enters data must be well<br />

tra<strong>in</strong>ed, and your land trust must have solid protocols for data entry<br />

and a clear, understandable system. Tim<strong>in</strong>g is also critical. For example,<br />

if you enter all data only at year’s end, you will not have the necessary<br />

<strong>in</strong>formation for approvals, violation resolutions or any mail<strong>in</strong>gs<br />

throughout the rest of the year.<br />
