POLICY<br />
It is a basic policy to accommodate any reasonable<br />
customer request for a change in new car order specifications<br />
including body style.<br />
If a need for a body style change occurs communicate<br />
the request to your Zone Office who will make<br />
the change if at all possible.<br />
PROCEDURE<br />
To change an order, type a complete new order<br />
with a new date and mark it REPLACEMENT as<br />
shown above. A new date is important, as repeating<br />
the original one could be confusing in determining<br />
the valid order.<br />
STANDARD TO SPECIAL<br />
An order changed to a non-standard upholstery or<br />
color should be marked REPLACEMENT OF<br />
STANDARD ORDER.<br />
This added identification will expedite handling<br />
and precludes a search for a previous order assumed<br />
to be special. It will be an assurance that the replacement<br />
order is in fact a new special order that can be<br />
processed without a risk of duplication.<br />
ATTENTION ZONE OFFICES<br />
Whenever a standard order is changed to a special,<br />
it is the responsibility of the zone office to remove it<br />
from the Daily Model Status Report of Car Orders<br />
(commonly referred to as Master Print Out). This is<br />
accomplished with a No. 5 card.<br />
It will be presumed that any non-standard ordernew<br />
or replacement-received at the Central Office<br />
has been cleared from previous records.<br />
IMMEDIATE REQUEST<br />
A telephone request to hold up an order that is to<br />
be replaced may prevent it from being started in the<br />
original specifications while the replacement is in the<br />
mail.<br />
ACKNOWLEDMENT<br />
Provided the car has not been released for production,<br />
the replacement order will supplant the original<br />
or previous copy on file which will then be returned<br />
to the dealer as an acknowledgment. If the replacement<br />
order is received after the car has been started,<br />
it will be returned marked T L (too late).<br />
AVOID VERBAL INSTRUCTIONS<br />
A telephone call to stop production of an order that<br />
is to be replaced is highly recommended as previously<br />
explained. But due to the risk of error, only in extraordinary<br />
circumstances should verbal requests be<br />
made to change orders. ,<br />
Correctly typing a replacement order at tne<br />
dealer's office insures the quickest handling. The new<br />
order flows through an established procedure and<br />
avoids any verbal misunderstanding. It permits a final<br />
check for accuracy and provides a formal acknowledgment<br />
which would not be available otherwise.<br />
