<strong>2006</strong>South African National ParksRecords Management ServicesIn the period under review the focus was on the formulation of policyand implementation for South African National Parks to accurately andeffectively fi le all its correspondence and documents according to anapproved fi le plan. This is in compliance with the National Archives Actand other relevant legislation.The current fi le plan has been approved by the National Archivist andchanges to the fi le plan are submitted on a regular basis to the NationalArchivist for approval. A virtual library for the South African National Parkshas also been established for internal use.Project Management Office Administration<strong>SANParks</strong> is in the fortunate position to receive grants and sponsorshipsthat greatly assists in funding the needs of the organisation for many of itsmandated functions. Some of these grants also contribute to <strong>SANParks</strong>’national objectives such as:• the poverty relief programme;• alien plant clearing;• water catchments area management; and• infrastructure development.The effective governance of these projects are of the utmost importanceto <strong>SANParks</strong> and therefore the executive management of <strong>SANParks</strong>has in the period under review approved the creation of a unit that cancoordinate and quality assure the effective management of all projectswithin the organisation.This unit’s mandate is also to create a central administration portal whereall projects and their progress will be visible to the whole of <strong>SANParks</strong>,set policies, methodologies and standards for project management inthe organisation.This unit has commenced this function during the year by auditingcurrent projects and ensuring good governance on these projects. Thefunction will be further expanded in the coming fi nancial year with formalmethodology adoption and the registering of all projects on the centraladministration system.Corporate Geographic Information SystemsThe use and requirements for Geographic Information Systems (GIS) in<strong>SANParks</strong> was developed over several years, initially primarily as a tool forthe scientists in the KNP but later also to monitor and manage infrastructure,plan and monitor park development and expansion and map culturalheritage sites within the South African National Parks.37
