beneficiary. This includes the <strong>City</strong> <strong>of</strong> <strong>Prince</strong> <strong>George</strong> Departments <strong>and</strong> Committees <strong>of</strong> Council. Organizations<br />

are not eligible for this rate when hosting conferences, conventions, <strong>and</strong>/or tradeshows <strong>and</strong> consumer shows.<br />

Statutory Holiday Rates<br />

The <strong>Prince</strong> <strong>George</strong> Civic Centre is closed on all statutory holidays. When a group wishes to rent the facility on<br />

a statutory holiday, regular rental rates <strong>and</strong> additional staff costs will be charged.<br />

Set up/ Take Down Rates<br />

Customer event setup <strong>and</strong> take down rates are 50% <strong>of</strong> the regular rental rate.<br />

The <strong>City</strong> reserves the right to charge set up <strong>and</strong> take down rates to space that is not available for other use<br />

due to extensive facility preparation for customer’s requirements.<br />

Additional Set-up <strong>Charges</strong><br />

Event staff must be supplied with specific details <strong>of</strong> all set-up requirements well in advance, so that the set-ups<br />

may be accomplished as efficiently <strong>and</strong> cost-effectively as possible. If details are unavailable or significantly<br />

altered within 72 hours <strong>of</strong> the event move-in date, additional charges may be incurred.<br />

Included in the Room Setup<br />

One room set-up (Theatre, Classroom, Boardroom, U-shape, Hollow Square, or Rounds)<br />

One customized floor plan (if required or upon request)<br />

Ice water service on tables <strong>and</strong> water station<br />

Monitor listing <strong>of</strong> your event on the Omnivex <strong>and</strong> outside <strong>of</strong> meeting space on signage display<br />

One 15 amp circuit<br />

White board, markers <strong>and</strong> brush (Upstairs meeting rooms ONLY)<br />

Registration table/chairs<br />

Three (3) – 16”/24” x 4’x8’ staging units ( Auditorium bookings ONLY)<br />

Booking Changes<br />

Change to the seating style within a session (7:00 am- 5:00 pm or 6:00pm – 10:00 pm) will incur room<br />

change labour charges.<br />

Changes made to the preset room less than 24 hours prior to the event will be charged for the turn<br />

over.<br />

Event Rate - Auditoriums<br />

These rates are used for customers who require exclusive use <strong>of</strong> the auditorium space from 7am to 2am.<br />

Meeting Room Rates – Upper Meeting Rooms<br />

Day Rates - These rates refer to bookings <strong>of</strong> the upper meeting rooms from 7am to 5pm.<br />

Evening Rates - These rates refer to bookings <strong>of</strong> the upper meeting rooms from 6pm to 10pm<br />

24 Hour Rates - These rates refer to bookings <strong>of</strong> the upper meeting rooms booked from 7am through to<br />

the next 24hour period. The rate is based on a combined price <strong>of</strong> the day rate <strong>and</strong> the evening rate.<br />

Event Promoter Rates<br />

This rate applies to all event rentals that a business or organization or agency produces, have ticket sales to<br />

the public <strong>and</strong> the proceeds generated are not 100% directed to a <strong>Prince</strong> <strong>George</strong> based registered charity<br />

under Revenue Canada. These rates are the st<strong>and</strong>ard rate versus 14% <strong>of</strong> gross ticket revenue, whichever is<br />

greater. A limit <strong>of</strong> the % gross ticket revenue may be set, subject to approval <strong>of</strong> the Director or designate.<br />

Promotion Rates<br />

From time to time inclusive packages may be <strong>of</strong>fered to cover costs <strong>of</strong> food/beverage <strong>and</strong> room rental.<br />

Catered Events Rate<br />

Rooms reserved for meal functions where the meal is $19 or more per person, excluding beverages, service<br />

charges <strong>and</strong> taxes, are eligible for a room rental reduction as per the Catered Event rates.
