students in their union: clubs and societies handbook 2002/3applying for a grantEach year the students’ union will provide an opportunity for clubs and societies to apply for money to fund the basicrunning costs of the society. A new society should approach the union and find out if they are able to apply for agrant at any time during the year. The union may ask you to submit an application when the time comes round again,or may be able to finance you until the next deadline.To ensure you are eligible to apply for a grant, follow this checklist:Have you made sure there isn’t a society similar to the one youwant to set up in existence?Have you found the minimum number of members needed as statedin the students’ union constitution and collected all membership moniesHave you elected three committee members (Chair, Treasurer,Secretary) at an IGM?Have you written your aims and objectives and your constitution?The students’ union will provide you with an application form to assist with your grant application. With this youmust include details of your membership numbers (attach your membership list) and your committee details (societyregistration form). The students’ union will look after your account as clubs and societies are NOT permitted to operateprivate or separate accounts.As students’ unions have charitable status they are only allowed to pursue activities which are withinthe aims and objectives of the students’ union constitution. In the same way societies have constitutionswhich limit their activities. It is unlawful to do anything beyond the aims and objectives of theconstitution or use your grant to fund activities that are not covered in the constitution. These arereferred to in law as ‘ultra vires’ actions. Ultra Vires is covered in more detail in the appendix.In terms of your grant application, think carefully about what you need the money for and ensure the activities youplan to carry out fulfil your aims.what you can claim for Affiliation to a related national organisation having the same or similar purposes which will have the effect of5
