Refunds must be requestedon or before the first business day in June of the currentacademic year.Deadlines for Dropping Classes and Receiving a RefundTo drop a class, go to www.azwestern.edu and click onWebAdvisor under Quick Links.To receive a refund for:• a semester length class, an official drop must occurprior to or during the first four days of the semester• a semester length class meeting one day per week,an official drop must occur prior to or on the day of thesecond class meeting• a summer semester class, an official drop mustoccur prior to or during the first three days of thesemester• a class meeting four days or less, an official dropmust occur prior to start of class• all other classes, an official drop must occur prior toor on the day of the second class meetingCancelled ClassFees for classes cancelled by <strong>Arizona</strong> <strong>Western</strong> <strong>College</strong>will be fully refunded without submitting the “Requestfor Refund” form. A net reduction in total credits due tochanges in enrollment or the cancellation of a class mayqualify a student for a refund. Financial Aid recipientsshould refer to the Financial Aid section of the catalog forfurther clarification.Total Withdrawal from AWCStudents who totally withdraw from AWC must submita “Withdrawal Form” to the Enrollment Services Office,and subsequently may be eligible for a prorated refund ofall tuition and special fees. An administrative charge, notexceeding the lesser of $100 or 5% of charges assessedthe student, will be deducted from all refunds. In orderto consider the request for refund, a student must submita Petition for Extenuating Circumstances Refund tothe Enrollment Services Office. The following deadlinesto be considered for a refund are as follows: Fall—LastThursday in October, Spring—Last Thursday in March,Summer—June 30.A. Refund Eligibility Criteria Include:• serious illness or injury verified by a doctor’s writtenstatement (includes psychological disabilities verifiedby a psychologist)• death of a spouse, parent, in-law, grandparent, sibling,or child verified by a death certificate• military duty assignment changes verified by a copy ofthe orders• students receiving federal financial aid (Refund returnedto the appropriate financial aid program)B. Refund CalculationTotal withdrawal prior to:• end of add/drop period receives a 100% refund lessadministrative charge• end of add/drop period through 10% of enrollmentperiod receives a 90% refund less administrativecharge• 25% of enrollment period receives a 50% refund lessadministrative charge• 50% of enrollment period receives a 25% refund lessadministrative chargeGeneral InformationMilitary DeploymentMilitary personnel called to active duty, for war or nationaldisaster, may receive a 100% refund for the current semester.In order to consider the request for a refund, a studentmust submit a Petition for Extenuating CircumstancesRefund, along with a copy of the military duty assignmentorders, to the Enrollment Services Office.Class Withdrawals After the Add/Drop Period(less than total withdrawal from AWC)No refund request will be considered, charges will remainon the student’s account, and classes will appear on thestudent’s transcript.(See Return of Funds calculation—part C, below, if you arereceiving federal financial aid.)C. Return of Federal Funds PolicyThis policy governs all federal grant and loan programs(Pell, SEOG, Stafford Loans, Perkins, and PLUS loans),but does not include the Federal Work-Study program.The Higher Education Amendments of 1998 pertain tothe Return of Title IV Federal Financial Aid when a studentwithdraws completely from school. Title IV fundsare awarded to a student under the assumption that thestudent will attend school for the entire period for whichthe assistance is awarded.
