student may no longer be eligible for the full amount ofTitle IV funds that the student was originally scheduledto receive.In general, the law assumes that a student “earns”approved (verified) federal financial aid awards in proportionto the number of days in the term prior to thestudent’s complete withdrawal. If a student completelywithdraws from school during a term, the school mustcalculate, according to a specific federal formula, the portionof the total scheduled financial assistance that the studenthas earned and is, therefore, entitled to retain, untilthe time that the student withdrew. This policy governsthe earned and unearned portions of the student’s FederalTitle IV Financial Aid only. It determines how much, ifany, the student and/or the school may need to return.This policy does not affect the student’s charges. The studentis responsible for paying any outstanding charges tothe school.Return of Funds Calculation• The responsibility to repay unearned aid is shared bythe institution and student in proportion to the aid eachis assumed to possess.• During the first 60% of the enrollment period thestudent “earns” Title IV aid in direct proportion to thelength of time he or she remains enrolled.• Percentage is calculated by dividing the number of dayscompleted in the term by the number of calendar daysin the term.• Percentage is applied to the amount of disbursable aid tothe student for that period of enrollment.Order of Return of Title IV FundsA school must return Title IV funds to the programs fromwhich the student received aid, up to the net amountdisbursed from each source:• unsubsidized Federal Stafford loans• subsidized Federal Stafford loans• unsubsidized Direct Stafford Loans• subsidized Direct Stafford Loans• Federal Perkins loans• Federal plus loans• Direct plus Loans• Federal Pell Grant• fseog (Federal Supplemental Educational OpportunityGrants)Student Repayment ResponsibilityThe student is obligated to repay grant overpayments.Upon submission of the withdrawal card, the FinancialAid Disbursement Office will notify the student, in writing,of the amount of overpayment and available paymentarrangements. If not paid within forty-five days, the U.S.Department of Education will be notified.Room and Board RefundsRefunds to students departing from residence halls priorto the end of the semester are computed on the followingbasis:• Before ten weeks of room occupancy, students forfeittheir room deposits and will be charged 10% of the totalsemester rate for each week or partial week of registeredoccupancy, beginning with the day the residence hallsare open.• After ten weeks of room occupancy, students are notentitled to any refund for room, but will be eligiblefor refund of their room deposit. The room deposit isretained as security against a student’s cancellation ofthe housing agreement, voluntary termination of residencyprior to full semester payment, property damageor other possible charges that may accrue during residency.Although normally refundable, the entire roomdeposit is subject to forfeiture under the conditionsstated in the <strong>Arizona</strong> <strong>Western</strong> <strong>College</strong> Residence HallAgreement.Step 6Educational Academic Plan (EAP):Counseling and Advisement ServicesOnce you have begun classes and settled intothe semester’s routine, you should make another appointmentto see your academic advisor in order to completethe Educational Academic Plan (EAP). EAP forms may beobtained in Counseling and Advisement Services.Although an EAP is required for certain students atAWC (Student Support Services, financial aid appeals,Veterans, and occupational degree candidates), it is a veryuseful tool for all students to help you plan your programof studies through to its completion, keeping in mind yourcourse load each semester and your desired date of graduation.The EAP is also an opportunity for further careerexploration with an academic counselor/advisor.• other Title IV assistance26
