Step 6: What is an attractive and usefulway of documenting your findings?Write a reportWe have arrived at the final step. Now you will composea report on the data you collected. This document containsall the information you have collected, how it was collected,and the conclusions and recommendations. A report is onlyuseful when it is clear and readable, and the findings andrecommendations are accessible for others.Tools- Appendix 5: Outline for a Report (page 86)- Worksheet : questions 26-27When the preparations as described in Step 1, 2 and 3 arefinalised, you can start collecting the data. If you wish to includea pre-test measurement, you have to organise this before thestart of the implementation. We distinguish a number of tasksin the collection of information. They are given below.Outline of your reportIn order to use the information in future, the results andconclusions of the data collection should be properlydocumented in a report. Appendix 5 provides an outline ofa report. The outline provides specific guidelines how toreport the results of the study. See Box 2 for the mainelements of a report.Use the collected dataOf course, you and others should use the collected data infuture work. Therefore, the findings have to be practicallytranslated. Often, evaluation studies are conducted, reportsare written, and everyone continues in another project. To makesure that the information of the study is used in practice, it isnecessary to make monitoring and evaluation part of a projectplan, and to allocate funding for, for example, written materials.Learning, decision making, accountability,and disseminationInformation generated in outcome M&E can be used forvarious purposes. First of all, the information can be usedfor learning. Some relevant questions include: what does yourorganisation learn from the M&E? Is it necessary to changethe programme, based on your conclusions? What can otherslearn from the evaluation? The outcome M&E itself is also asource for learning: what was learned from the whole process,is it something to continue doing?
