Unused Subdivisions<br />

Under earlier cataloging policies, certain corporate subdivisions were not<br />

established. Instead, the heading for the parent body was used whenever the subheading<br />

would have been used. Usually an internal LC reference was made from the unused<br />

subdivision <strong>to</strong> the heading for the parent body. In earlier periods <strong>of</strong> this practice the<br />

unused subdivisions were only listed on the manual authority card for the parent body, or<br />

were given in a form explana<strong>to</strong>ry reference.<br />

In the au<strong>to</strong>mated system, these unused subdivisions are identified by the<br />

following statement in the 667 field:<br />

667 ## $a Unused subdivisions: [list <strong>of</strong> subdivisions, e.g.,<br />

Administrative Branch; Personnel Section; Research Unit]<br />

Whenever one <strong>of</strong> these unused subdivisions is <strong>to</strong> be used in current<br />

cataloging, establish the subdivision <strong>and</strong> use it henceforth in all cataloging for which<br />

it is appropriate, leaving the existing bibliographic records as they are. Do not make<br />

any references between the two headings for the parent <strong>and</strong> the subdivision, <strong>and</strong> cancel<br />

any references that may already exist in the MARC database. Delete the name <strong>of</strong> the<br />

subdivision from the 667 field on the authority record for the parent body.<br />

Information/Publication Agencies<br />

Under AACR 1 18A1 references were made <strong>to</strong> a parent body from subordinate<br />

units that functioned as information or publication agencies. Whenever one <strong>of</strong> these<br />

agencies is encountered in current cataloging, use it henceforth in all cataloging for<br />

which it is appropriate, leaving the existing bibliographic records unchanged. Do not<br />

make any references between the two headings for the parent body <strong>and</strong> the<br />

information/publication agent, <strong>and</strong> cancel any references that may already exist in the<br />

name authority file.<br />

If the information/publication agency has been established separately, apply<br />

these instructions both when the information/publication agency is needed for immediate<br />

use as a heading <strong>and</strong> when it is not (e.g., it is encountered in h<strong>and</strong>ling the authority<br />

record for the parent body). If, however, the information/publication agency has only<br />

been traced as an unused subdivision reference on the manual authority record for the<br />

parent body, h<strong>and</strong>le it according <strong>to</strong> the instructions above for "unused subdivisions".<br />

When the name <strong>of</strong> a corporate body begins with a person's forename(s) <strong>and</strong><br />

surname or initial(s) <strong>and</strong> surname, make a reference from the surname <strong>and</strong> the remainder <strong>of</strong><br />

the corporate name, omitting the forename(s) or initial(s).
