✔ Prepare the tools you need to inform the<br />
media effectively. These include news<br />
releases, fact sheets, brochures, or other<br />
background information. If you’re planning<br />
an event, you might also need a media advisory<br />
(a “save the date” announcement), as<br />
well as a press kit with the above-mentioned<br />
tools plus an agenda, short bios of speakers,<br />
and copies of their speeches. Don’t forget to<br />
include the five “W”s—what, when, where,<br />
who, and why—in the new release. Also,<br />
you’ll need to identify the people in your<br />

Consider the following questions and suggestions when forming your media strategy:<br />
1. What are the best ways to reach your target audiences?<br />
2. What newspapers do they read? What radio stations do they listen to?<br />
3. Check the list of media contacts used by your agency, as well as any related agencies,<br />
partners, etc., to determine if you are missing any media outlets.<br />
4. If you are holding a special event, don’t forget to notify calendar editors, including those on<br />
community Web sites.<br />
5. How will you distribute your materials—by fax, by mail, by e-mail?<br />
6. Make sure your list includes all the information you need to reach your targeted media.<br />
7. Whenever possible, note media deadlines for submitting information.<br />
