(2) When the proposal/dissertation is deemed acceptable, the student works with the<br />
committee members to find a mutually agreed upon day and time for the proposal or<br />
defense.<br />
(3) No later than 2 weeks before the chosen date, ask the chairperson <strong>of</strong> the committee<br />
to send an email to the Associate Director and the Information Manager, authorizing<br />
the scheduling <strong>of</strong> the proposal or defense seminar. If you want to schedule a<br />
proposal/defense between 10-13 days in advance, you must get the permission <strong>of</strong><br />
your entire committee in order to do so. Everyone on the student’s committee must<br />
send the Information Manager an email, indicating that it is okay to schedule the<br />
proposal for that specific date. Proposal/defenses cannot be scheduled less than<br />
10 days in advance.<br />
(4) Send an email to Information Manager stating the title <strong>of</strong> the dissertation and the<br />
members <strong>of</strong> your committee. Indicate if anyone will be in absentia. Indicate if any<br />
member <strong>of</strong> your committee is from another department/school <strong>of</strong> the <strong>University</strong> or<br />
another university (and if so, which department/school/university). For defenses,<br />
also indicate information about your job: title, institution, location (if known).<br />
(5) Information Manager will book a room, prepare the formal announcements and send<br />
them out.<br />
(6) No later than 1 week before the proposal or defense seminar, provide a copy <strong>of</strong> the<br />
dissertation proposal or dissertation to each <strong>of</strong> the committee members and to the<br />
<strong>Ph</strong>.D. Office. <strong>The</strong> <strong>Ph</strong>.D. <strong>of</strong>fice will confirm with your committee members that they<br />
have received a copy <strong>of</strong> the proposal/dissertation one week in advance <strong>of</strong> the<br />
scheduled proposal/defense. If your committee has not received a copy by this date,<br />
your proposal/defense will be cancelled and will need to be rescheduled (following<br />
the appropriate scheduling guidelines).<br />
(7) Following the proposal seminar, you will receive a letter informing you that your<br />
chairperson has been instructed to give you, within 30 days, a memo outlining all the<br />
tasks you need to do on your dissertation in preparation for the defense. Please make<br />
sure you receive that memo and when you do, inform the <strong>Ph</strong>.D. <strong>Program</strong> Office. If<br />
you have trouble obtaining it, ask for the assistance <strong>of</strong> the Associate Director.<br />
(8) See the Associate Director about registering for graduation (you might need to do<br />
this substantially before you defend in order to meet graduation registration<br />
deadlines).<br />
Remember to allow plenty <strong>of</strong> time in advance for planning and scheduling the seminar.<br />
GRADUATION PROCEDURES<br />
(1) Reach candidacy. Generally this is done at least 8 months before graduation.<br />
(2) Successfully propose and defend your dissertation. (If you have not successfully<br />
defended your dissertation but plan to do so within the quarter, you may still apply<br />
for graduation.)<br />
(3) Submit an online graduation application (or applications, if you are also getting the<br />
MBA). <strong>The</strong> deadline for degree application is prior to the start <strong>of</strong> the quarter<br />
in which you intend to graduate.<br />
