<strong>Ph</strong>.D. <strong>Program</strong> <strong>Guidebook</strong> 2007-2008<br />
Incompletes are given at the discretion <strong>of</strong> the instructor. <strong>The</strong> manner <strong>of</strong> and time period for<br />
completion <strong>of</strong> the work are agreed on by the instructor and the student, so long as the time<br />
period does not exceed the one year limit placed by the <strong>Ph</strong>.D. Office. If the instructor is<br />
unwilling to give an incomplete, the student should withdraw from the course. Students may<br />
make up an incomplete only with the instructor who granted it. Please note that the grade <strong>of</strong><br />
“I,” in addition to the final grade, will remain on the student’s university transcript.<br />
Sometimes students receive a blank grade instead <strong>of</strong> an <strong>of</strong>ficial "I." <strong>The</strong> same policies apply<br />
to a blank grade.<br />
Incompletes and blank grades must be resolved within one year (i.e., if an incomplete or<br />
blank grade was granted for a course taken in autumn quarter 2006, the incomplete or<br />
blank grade must be changed to a grade by the end <strong>of</strong> autumn quarter 2007). If a<br />
student fails to receive a grade for an incomplete or blank grade within the one year<br />
limit, the student must retake the course in order for it to count toward degree<br />
requirements. <strong>The</strong>re are no exceptions to this rule.<br />
GRADE APPEAL PROCEDURES<br />
A student who believes that he or she has an error in the grading on any graded material in a<br />
course (e.g., assignment, paper, project, examination) should follow the guidelines provided<br />
by the pr<strong>of</strong>essor for a grade appeal. If the pr<strong>of</strong>essor does not provide specific guidelines, the<br />
student should use the following process:<br />
1. Discuss the potential grading error with the pr<strong>of</strong>essor.<br />
2. Submit a written request for a review <strong>of</strong> the graded material to the pr<strong>of</strong>essor.<br />
3. In both the discussion and the written appeal the student should state clearly and in<br />
detail which part <strong>of</strong> the graded material has a potential grading error, why the student<br />
believes there is an error, and what the correct grade would be. <strong>The</strong> pr<strong>of</strong>essor will<br />
review and re-grade all <strong>of</strong> the material and decide whether or not the grade should be<br />
changed. If the pr<strong>of</strong>essor decides that a grading error was made, it is the obligation<br />
<strong>of</strong> the faculty to correct that error and increase or decrease the grade accordingly.<br />
<strong>The</strong> final decision rests with the faculty member and only he or she can change the<br />
grade.<br />
If the faculty member does not respond in a timely manner, and the student wishes to pursue<br />
the appeal further, he or she may submit a written request along with copies <strong>of</strong><br />
correspondence with the faculty member to the <strong>Ph</strong>.D. <strong>Program</strong> Office. <strong>The</strong> Associate<br />
Director will review the process with the student. If the Associate Director concludes that a<br />
student request did not get a complete review by the pr<strong>of</strong>essor, he or she will contact the<br />
pr<strong>of</strong>essor to discuss the re-grade and ensure that the student’s request received a fair review.<br />
Appeals are limited to a review <strong>of</strong> the re-grade process and do not include a review <strong>of</strong> the<br />
pr<strong>of</strong>essor’s evaluation <strong>of</strong> the re-grade.<br />
Unless a pr<strong>of</strong>essor informs their students otherwise, a grade change appeal must be initiated<br />
no later than the quarter after the course is completed.<br />
OBTAINING GRADES<br />
At the end <strong>of</strong> each quarter, students may check their grades via CMore at<br />
https://cmore.uchicago.edu/authenticate.phtml. Students use their <strong>University</strong> CNet ID and<br />
password. This user-id and password is different from your GSB user-id and password. Due<br />
to security concerns, no grades may be given out over the telephone or by e-mail.<br />
