<strong>Ph</strong>.D. <strong>Program</strong> <strong>Guidebook</strong> 2007-2008<br />

(1) During Scholastic Residence, a student who has completed three or fewer years in this<br />

status may apply to the Director <strong>of</strong> the <strong>Ph</strong>.D. <strong>Program</strong> for a leave <strong>of</strong> absence <strong>of</strong> up to four<br />

academic quarters. Upon returning from such a leave, the student will be required to<br />

register in Scholastic Residence until the requirement <strong>of</strong> four years <strong>of</strong> registration in that<br />

status has been fulfilled. (During the period <strong>of</strong> leave, the academic residence status<br />

“clock” is stopped.)<br />

(2) A student in Advanced Residence may apply for a Leave <strong>of</strong> Absence only if temporarily<br />

incapacitated by major illness or injury. Applications for such a leave must be endorsed<br />

by the Director <strong>of</strong> the <strong>Ph</strong>.D. <strong>Program</strong>; they can only be granted by the Office <strong>of</strong> the<br />

Provost. A student may take such a medical leave <strong>of</strong> absence for no more than four<br />

academic quarters.<br />

(3) A female student in either Scholastic or Advanced Residence who becomes pregnant<br />

may request a one-quarter leave for childbirth. <strong>The</strong> one-quarter maternity leave may be<br />

taken in the quarter <strong>of</strong> childbirth or an adjacent quarter. Such a leave may be granted by<br />

the Director <strong>of</strong> the <strong>Ph</strong>.D. <strong>Program</strong>.<br />

GSB Leave <strong>of</strong> Absence policies: <strong>Chicago</strong> GSB reserves the right to place a student on an<br />

administrative leave <strong>of</strong> absence for lack <strong>of</strong> academic progress or performance, disciplinary<br />

sanctions, Category Two restrictions, and other such circumstances. When the Associate<br />

Director determines, in consultation with the Student Counseling and Resources Director (or<br />

his or her designee), that a student’s continued presence on campus poses a substantial risk to<br />

the safety and well-being <strong>of</strong> others or may cause significant disruption to the functioning <strong>of</strong><br />

the <strong>University</strong>, a leave <strong>of</strong> absence may be indicated. <strong>The</strong> student may be in a better position<br />

to recover from or manage his or her symptoms at home or in a less stressful environment.<br />

<strong>The</strong>y may also benefit from specialized counseling or treatment away from the <strong>University</strong>.<br />

<strong>The</strong> student will be given the opportunity to take a leave <strong>of</strong> absence voluntarily. If the<br />

student declines to take a voluntary leave <strong>of</strong> absence, the Associate Director has the authority<br />

to restrict or cancel existing and further registration <strong>of</strong> the student.<br />

While on a leave <strong>of</strong> absence, students are placed on “inactive” status. Students should review<br />

the section on Inactive Status and the following recommendations prior to deciding to take a<br />

leave <strong>of</strong> absence:<br />

1. Bidding for classes: Students should not bid for classes for the quarter(s) they will be<br />

on leave. Students who have bid for classes for the upcoming quarter should<br />

immediately enter a bid in the next round <strong>of</strong> DAS to drop all classes. By dropping<br />

courses in DAS, students receive points back (if any) in the amount <strong>of</strong> the closing<br />

price in that round. <strong>The</strong>re is no refund <strong>of</strong> bid points for dropping courses after rounds<br />

<strong>of</strong> bidding. Access to ORB is restricted during the leave quarter(s).<br />

2. Fees: Students are not charged fees while on a leave <strong>of</strong> absence.<br />

3. Financial aid: Students who receive financial aid and/or loans must inform <strong>Chicago</strong><br />

GSB’s financial aid <strong>of</strong>fice <strong>of</strong> their intention to take a leave <strong>of</strong> absence.<br />

<strong>The</strong> following are specific considerations for students in the <strong>Ph</strong>D <strong>Program</strong>:<br />

1. Student Health Insurance: <strong>The</strong> <strong>Ph</strong>D <strong>Program</strong> will not cover the cost <strong>of</strong> health<br />

insurance coverage while on a leave <strong>of</strong> absence. <strong>The</strong> only exception is for students<br />

taking an approved medical leave <strong>of</strong> absence. Students participating in the<br />
