Stakeholder engagement and communications<br />

External stakeholders<br />

External stakeholder relationships help to inform<br />

NTDCS’ own governance within government<br />

and the broader community on a national<br />

and international scale. Relationships with<br />

stakeholders need to be reflected formally in<br />

governance structures to provide adequate<br />

communication flow and manage possible<br />

conflicts of interest.<br />

Media and enquiries<br />

External communications are handled by the<br />

Manager, Media and Communications, in<br />

consultation with the Office of the Commissioner.<br />

Internal stakeholders<br />

NTDCS employees manage their internal<br />

relationships and communication to provide input<br />

on relevant policies, procedures and work projects<br />

through a number of mechanisms that range from<br />

regular executive meetings, branch meetings,<br />

structured forums through to cross department<br />

project teams, surveys and more informal<br />

meetings and conversations.<br />

Exit survey<br />

The NTDCS exit survey is available on the<br />

Department’s Intranet, designed to provide<br />

information for an employee’s departure and to<br />

identify areas for improvement. Human Resources<br />

collates all feedback and uses the data received to<br />

inform the People Plan.<br />

Information and Decision Support<br />

Records management system<br />

All significant decisions or actions made are<br />

documented so that the decisions or actions<br />

can withstand independent scrutiny. Proper<br />

record keeping allowing others to understand<br />

the reasons why a decision was made or an<br />

action taken and can guide future decision<br />

makers. NTDCS uses the whole of government<br />

policy and procedures to manage and track all<br />

internal documents and files.<br />

Information release<br />

NTDCS is subject to the Information Act and<br />

the Care and Protection of Children Act, and is<br />

required to meet the obligations under these<br />

Acts. Pursuant to the Information Act, members<br />

of the public can gain access to documents<br />

or records held by the Department unless the<br />

document is within an exception or exemption<br />

category specified in the legislation. The<br />

Information Act also defines strict timeframes<br />

for dealing with these requests for information.<br />

Requests are processed by the Information<br />

Officer, in the Office of the Commissioner.<br />

Evaluate and review governance arrangements<br />

The evaluation and review of the performance<br />

of NTDCS and its operations is an integral part<br />

of our corporate governance which ensures<br />

the Department learns from experience and<br />

adapts to changing circumstances affecting<br />

its governance structures or practices. The<br />

Corporate Governance Framework, Risk<br />

Management Framework and Toolkit, and the<br />

Fraud Control Plan were tabled for review by<br />

the Audit Committee in April 20<strong>16</strong>. Copies<br />

of these documents are posted on the<br />

Governance homepage on the Intranet site,<br />

accessible to all staff.<br />

Good record keeping is essential to transparency<br />

and accountability for NTDCS.<br />
