13. The ABC shall NOT provide regional <strong>club</strong>s with credit information on members. (1981) Regional <strong>club</strong>s shouldhandle their own situation regarding checks. (1982)14. Any acknowledgments, awards, commemoration, commendations, declarations, salutations, or other documents,gifts, prizes, donations or trophies, when issued or presented in the name of the ABC and requiring authenticatingsignature, only bear the signature of the President, Executive Secretary or Secretary of the ABC, or with theknowledge, direction and concurrence of the President, Executive Secretary or Secretary, the signature of that otherofficer under whose jurisdiction such matter is issued and distributed. (1977)15. Submit a report of your activities and recommendations to the Agenda Chairman in advance of the annual Boardmeeting. This must be done far enough in advance so the Agenda Chairman can have the agenda in the hands of theDirectors six (6) weeks prior to the Annual Board Meeting. (1992)16. Officers shall be reimbursed for telephone and postage expense when bills are presented, subject to Presidentialapproval, to be paid by the Treasurer.17. Requests for donations are received and evaluated by the Treasurer. Recommendations are then made by theTreasurer to the Board at the annual Board meeting. If there is no profit, there is no donation. If there is a profit, thedonation has been in the neighborhood of ten percent (10%) of the profit and has generally been to the MorrisAnimal Foundation.18. BAD CHECK POLICY (1985):A. Any check returned by the bank must be made good, along with a $15.00 expense fee, within 10 daysafter notification of its return.B. All rights to participate in any activities of the parent <strong>club</strong> shall be forfeit until such check and/or fee ismade good.C. Should an individual have 3 or more checks returned within a period of one (1) year, he shall be requiredto make all payments in the form of a certified check for a period of one (1) year unless released from thatresponsibility by the Board of Directors.19. The Treasurer shall furnish itemized income/expense statements to the 1st Vice President, the 3rd VicePresident, the 4th Vice President, and each regional Futurity Chairman for the preceding 2 to 3 years. Thesestatements shall be distributed to the above listed personnel in such a manner that decisions for the upcoming annualevents may be made in a timely manner.20. The editor shall be included in the quarterly mailing of financial statements of magazine accounts.21. The cost of publishing the magazine shall be considered a part of the normal operations of the ABC. Themagazine commitment, as such, shall be done away with, and the magazine cost shall be paid out of the generalfund.22. A donation of $2,000 to the Bird Dog Foundation and $3,000 to the Sportsmen’s Alliance on a yearly basis onbehalf of the ABC shall be made by the Treasurer. (2006)23. A donation of $500 shall be made to the NAIA (<strong>National</strong> Animal Interest Alliance) on a yearly basis on behalfof ABC shall be made by the Treasurer. (2003). (2004). 25. The amount of $1,000 per year shall be set aside from the <strong>Breed</strong> Issues Fund for membership development,subject to approval by the President. Regional <strong>club</strong>s may apply to the President for funding to aid in their endeavorsto promote membership and the breed with Meet the <strong>Breed</strong> booths, Sporting Exhibitions and the like. (2007)26. Receive paperwork from C.T. Corporation, Chicago, IL needed to file notice annually with Secretary of State ofthe State of Illinois of the name and address of registered agent for service of process by the required date or takewhatever action appropriate to maintain corporate charter in State of Illinois. (2010)27. Shall prepare and file (or cause to be prepared) the annual Internal Revenue Report (currently IRS Form 990)for the ABC. (<strong>2012</strong>)28. Prepare and file IRS 990-T (Report of Income Taxes Due) and make periodic tax payments to the InternalRevenue Service, as necessary, in the name of the American Brittany Club. (<strong>2012</strong>)29. Shall maintain the IRS Group Exemption for the parent <strong>club</strong> as well as all regional <strong>club</strong>s included under thegroup exemption.
