Staff meetings have taken place since the<br />

review to discuss the need for accurate and<br />

orderly record keeping. When the 20 cases<br />

are pulled, an audit <strong>of</strong> licensing records will<br />

be pulled and each worker will be evaluated<br />

on record keeping and personal and general<br />

feedback will be given in order to improve the<br />

system. The redesign will move the process<br />

to private agencies and they will be trained on<br />

how DCYF would like the records submitted<br />

to the department.<br />

Cases will be pulled in January 2009. A team<br />

has been identified to review the records,<br />

report on findings and to recommend changes<br />

to the Licensing Administrator and Agency<br />

Director.<br />

DCYF re-ran the “average length <strong>of</strong> licensure”<br />

calculation in May 2009.<br />

The results showed, on average, homes are<br />

being licensed within 6 months.<br />

3. Maintain copies <strong>of</strong> licenses and<br />

background checks in the IV-E<br />

foster care and adoption subsidy<br />

files as well as the foster care<br />

The process is continuing to be done<br />

manually. The automation request with<br />

MIS is in queue; programming is subject<br />

to other priorities. Completion is<br />

anticipated in the Fall.<br />
