Structure and NumberingPart II consists of six chapters. Chapter 9 provides general rules for creating authorityrecords for repositories that wish to maintain separate authority systems. Chapters 10through 14 provide rules for the different areas of archival authority records.Descriptive OutputsThe rules provide for data input, but do not prescribe particular outputs or display.Presentation of this information to the user, including the way that the authorityinformation is linked with the descriptions of the materials, will be determined byinstitutional policy within each repository’s descriptive system.ExamplesThe examples in Part II are illustrative, not prescriptive. They illustrate only theapplication of the rule to which they are appended. Furthermore, the presentation of theexamples is intended only to assist in understanding how to use the rules and does notimply a prescribed layout, typography, or output.
CHAPTER 9Archival Authority RecordsPurpose and ScopeThe purpose of Chapters 9 through 13 is to describe the elements of a fully documentedarchival authority record. Because of the variety of ways in which this data might bestored and used, DACS prescribes the required elements of information and describeshow that content should be recorded. It does not prescribe the precise formats in whichthese elements are stored or presented to users.Chapter 14 describes the ways in which authority records may be linked to otherresources such as descriptions of archival materials, to other data about the entity such asbiographical directories, or to contextual information in other countries and/or in otherlanguages.DefinitionAn archival authority record identifies and describes a personal, family, or corporateentity associated with a body of archival materials; documents relationships betweenrecords creators, the records created by them, and/or other resources about them; and maycontrol the creation and use of access points in archival descriptions. The InternationalStandard Archival Authority Record for Corporate Bodies, Persons, and Families(ISAAR(CPF)) organizes the types of information found in an archival authority recordinto four areas:Identity Area: the authoritative form of the name of the entity as established bycataloging rules such as those found in AACR2 or RDA, along with references toany variant forms of that name by which researchers might know that entity,Description Area: a description of the history and activities of the entity that arepertinent to the records with which it is associated, written in accordance with therules in Chapter 11,Relationships Area: references to related persons, families, and corporate bodies,andControl Area: management information regarding the creation and status of therecord.Although archival authority records are similar to library authority records in that theyboth support the creation of standardized access points in descriptions, archival authorityrecords support a much wider set of requirements than library authority records andFORM OF NAMES FOR C O RPOR ATE BOD IES 95
